HVAC Commercial Coordinator All Airs | Kennesaw, GA | Full-Time All Airs is seeking a highly organized and detail-orientedCommercial Coordinator HVAC to support our commercial HVAC projects from quoting through final billing and closeout. Key Responsibilities - Prepare and send commercial HVAC quotes to contractors.
- Manage new vendor documentation, COIs, and permits.
- Administer change orders and coordinate change order billing.
- Communicate project status, updates, and requirements to contractors, customers, and project teams.
- Manage project closeout documentation.
- Prepare and maintain Schedules of Values (SOVs).
- Generate invoices and manage billing administration.
- Prepare complete billing packages and communicate with customers regarding billing.
- Coordinate equipment and material purchase orders.
- Track equipment, materials, and POs in ServiceTitan
- Maintain accurate project records and follow up on outstanding documentation.
- Coordinate with contractors, vendors, customers, project managers, and accounting to keep projects moving efficiently.
Qualifications - Commercial HVAC, construction, or project administration experience preferred.
- Experience with quoting, changing orders, billing, purchase orders, and project documentation.
- Strong organizational and communication skills.
- Excellent attention to detail and ability to manage multiple deadlines.
- Proficiency with Microsoft Office and Excel.
- ServiceTitan experience strongly preferred.
- Ability to work independently and collaborate with contractors, customers, vendors, and internal teams.
