Office Assistant
Serve as a welcoming first point of contact for the Humanities Department while providing essential administrative support to faculty, staff, students, and department leadership. This part-time role combines day-to-day office coordination with scheduling, event support, student employee supervision, and confidential administrative responsibilities.
Position Summary
The Office Assistant provides administrative support to the department chair, faculty, and students and serves as an important resource for individuals seeking information about the Humanities Department. This role requires sound judgment, initiative, attention to detail, confidentiality, and a welcoming approach when assisting students, employees, and visitors.
The position also works closely with advisors and office assistants across campus to coordinate information, resources, schedules, and services.
What You’ll Do
- Provide administrative support to the department chair, faculty, staff, and students, including answering questions, providing information about university policies and procedures, directing visitors and calls, and coordinating with appropriate campus personnel.
- Monitor key office procedures, including payroll, time-clock, and secure access control, and distribute departmental and interdepartmental communications.
- Maintain employee calendars and schedules, review incoming correspondence and data, prepare responses and memoranda as directed, and appropriately refer matters requiring supervisor attention.
- Assist the department chair with expense tracking and budget management, and order books, office supplies, and other departmental materials.
- Help manage the department website and social media pages.
- Coordinate course and room scheduling each semester, including determining course section needs and arranging rooms, technology, and other resources for courses and department events.
- Work with office assistants and advisors across campus to coordinate courses taught by department faculty and maintain accurate Humanities Grad Plan listings.
- Assist with department activities and events, including supporting the Humanities Academic Travel Study program, Academic Connections, and Majors Fair.
- Support the Academic Travel Study program by gathering student information and travel documentation, tracking courses and payments, assisting with travel arrangements, distributing information, scheduling meetings, and serving as a liaison between students and tour leaders.
- Schedule faculty meetings and appointments, prepare agendas and handouts, and record, transcribe, and distribute meeting minutes as needed.
- Hire, train, and supervise student employees; delegate assignments, process time and payroll submissions, and ensure work is completed in a timely and professional manner.
- Organize and maintain secure, confidential filing systems; handle confidential evaluation forms; maintain personnel directories; and coordinate communication with internal employees.
- Perform other duties specific to the supervisor’s area of stewardship.

Work Schedule
This is a part-time position with a typical schedule of approximately 30 hours per week, generally 6 hours per day, Monday through Friday, during the Fall, Winter, and Spring semesters. The specific schedule varies as needed in consultation with the Department Chair.
