Position: Human Resources (HR) Specialist (Onboarding)

Department: Human Resources

Status: Full Time

Position Summary: The Human Resources (HR) Specialist (Onboarding) reports to the Director of Human Resources and performs various administrative and HR duties in support of the department and university. The primary focus for this position is in the areas of employee and student onboarding, coordination of the employee orientations, personnel records management, background checks, employment verification and special projects. The HR Specialist (Onboarding) works on sensitive HR actions and records and must exercise discretion, tact and confidentiality at all times. The HR Specialist (Onboarding) also serves as a back-up for other for HR staff during absences. Core hours for this position are 8:00 a.m. through 5:00 p.m. Monday through Friday, with some overtime possible. All overtime must be approved by the Director of Human Resources.

Essential Duties and Responsibilities: Responsible for onboarding all employees and student employees from first contact through final work clearance. This process will involve contact with both students and hiring supervisors.

Maintain and manage I-9s, to include pulling all I-9s to review those who need to be terminated one by one against those who are active in Colleague.

Manage and execute pre-employment testing processes, deliver data and comparative reports to hiring managers in a timely manner.

Coordinate all aspects of new employee orientations.

Ensure that all new hires receive Title IX training through current training module (KnowBe4).

Act as liaison for Kelly Education for all out of state non-employees hired by Kelly Education and working for the university.

Updating all new and transferring employees on the university's MyCampbell webpage.

Responsible for digitalizing and maintaining personnel records into the HR electronic database. In addition to scanning the day-to-day information which must be maintained in the personnel records, a minimum of ten existing hardcopy personnel files should be converted to the current electronic format on a weekly basis. First emphasis should be placed on active files, then terminated files. A record of scanned files should be maintained for tracking progress.

Work with Marketing and Communications to find efficiencies pertaining to the information posted on the university's website regarding human resources information. This includes designing and maintaining an employee discounts web page which lists vendor discounts for employees. Once the page is designed, this position will be responsible for contacting vendors regarding possible discounts and maintaining a current list of vendor discounts.

Responsible for unemployment administration for all unemployment claims. This process will involve responding to unemployment claims online, tracking unemployment claims and maintaining a record of approved/denied claims.

Process, review and file in the HR online personnel records all background checks for newly hired faculty, staff, students and volunteers. Any questionable background checks should be reviewed with the Director of Human Resources. Additionally, this position will be responsible for corresponding with those who may be adversely impacted by negative background checks.

Responsible for responding to all employment verifications within five business days. Verifications seeking payroll history should be sent to Payroll. All employment verifications should be scanned into the HR electronic personnel record when complete.

Responsible for greeting all visitors to Human Resources in a professional manner.

Education/Experience: A bachelor's degree in Human Resources or related field is desired. Equivalent experience will be considered as well.

Three years experience in Human Resources preferred.

Experience in higher education or non-profit sector is also preferred.

Knowledge, Skills, and Abilities: Communicate effectively to all groups through both oral and written channels.

Maintaining strict confidentiality and attention to detail are essential.

Proficiency with Microsoft Word, Outlook, Excel, PowerPoint and the Internet is required

Knowledge of Colleague, Taleo and Tracker preferred.

Demonstrate tact, a positive attitude, courtesy and discretion in dealing with trustees, faculty, staff, students, high-level university officials and the public.

Work independently as well as function effectively in a team and within a diverse group of people.

Exercise independent judgment in complex and new situations.

Manage multiple, concurrent projects, and meet strict deadlines.

Detail-oriented and willing to work in a changing environment.

Ability to acquire quickly a broad knowledge of Campbell University policies and procedures and FERPA guidelines.
