River Ridge Dermatology is a growing, multi-location dermatology practice providing medical, surgical, and cosmetic dermatologic care. Our team is committed to providing an exceptional experience for our patients and one another.
As our organization continues to grow, we are seeking an experienced Human Resources & Payroll Manager to lead our internal HR function and manage payroll administration across the practice.
Position Summary
The Human Resources & Payroll Manager will serve as the primary HR resource for River Ridge Dermatology and will oversee the day-to-day human resources and payroll functions for the organization.
This is a hands-on role that combines employee relations, payroll, benefits administration, recruiting, onboarding, performance management, leave administration, compliance, and employee engagement.
The ideal candidate is approachable, organized, detail-oriented, and comfortable working independently. This individual should be able to build strong relationships with employees and managers while maintaining consistency, accountability, confidentiality, and sound HR practices.
Work Location
This is a full-time, on-site position with time regularly split between River Ridge Dermatology's Roanoke and Blacksburg locations.
The Human Resources & Payroll Manager will maintain an active presence at both locations to support employees and managers, address HR needs, and remain connected to day-to-day practice operations. Occasional travel to other River Ridge Dermatology locations may also be required based on organizational needs.
Key Responsibilities
Human Resources & Employee Relations
- Serve as the primary HR resource for employees, managers, and leadership.
- Provide guidance to managers regarding employee relations, attendance, performance concerns, workplace conflicts, corrective action, and performance improvement plans.
- Respond to employee concerns and conduct fair, thorough, and appropriately documented workplace investigations when necessary.
- Promote consistent application of policies and employment practices across departments and locations.
- Maintain confidential employee personnel files and required HR documentation.
- Coordinate employee status changes, promotions, transfers, compensation changes, and separations.
- Conduct exit interviews and identify trends related to employee turnover and retention.
- Maintain and update the employee handbook, HR policies, forms, and procedures.
- Maintain current job descriptions, employee classifications, and organizational information.
Payroll & Timekeeping
- Manage and process payroll accurately and on schedule for all employees.
- Review employee timecards for regular hours, overtime, PTO, holidays, missed punches, and other applicable pay categories.
- Work with managers to resolve timekeeping discrepancies before payroll processing.
- Process new hires, terminations, compensation changes, bonuses, deductions, benefit changes, and other payroll adjustments.
- Review and reconcile payroll reports for accuracy prior to final submission.
- Maintain accurate payroll records and supporting documentation.
- Respond to employee questions regarding paychecks, deductions, PTO, and timekeeping.
- Coordinate year-end payroll activities, including W-2 processing and corrections.
- Maintain compliance with applicable wage and hour requirements and payroll recordkeeping standards.
- Serve as the primary organizational contact for payroll and timekeeping systems.
- Partner with Finance and leadership regarding payroll reporting and labor costs.
Benefits, Leave & Workers Compensation
- Administer employee benefit eligibility, enrollment, terminations, and qualifying life events.
- Coordinate annual open enrollment and employee benefit communications.
- Reconcile benefit elections with payroll deductions.
- Coordinate retirement plan eligibility, enrollment, payroll contributions, and employee communications.
- Administer FMLA, medical leave, parental leave, and other applicable leave programs.
- Coordinate workplace accommodation requests and return-to-work documentation.
- Manage the administrative aspects of workers compensation claims, including reporting, documentation, work restrictions, and communication with applicable carriers.
Recruiting, Onboarding & Offboarding
- Manage job postings, applicant screening, interview coordination, and candidate communication.
- Partner with hiring managers throughout the recruitment and selection process.
- Prepare offer letters and coordinate pre-employment requirements, background checks, and new-hire documentation.
- Manage new employee onboarding and orientation.
- Ensure required employment documents and acknowledgments are completed and maintained.
- Coordinate employee offboarding and separation processes.
Performance Management & Employee Development
- Coordinate the employee performance review process.
- Assist managers with employee coaching, corrective action, performance improvement plans, and appropriate documentation.
- Help managers develop effective employee management and communication practices.
- Coordinate required employee and manager training.
- Support leadership development and new-manager training initiatives.
HR Operations & Compliance
- Monitor compliance with applicable federal and state employment laws and regulations.
- Maintain required employment records, I-9 documentation, workplace postings, and employee acknowledgments.
- Track required employee licenses, certifications, training, and renewal dates.
- Review employee classifications and assist with wage and hour compliance.
- Maintain appropriate HR record-retention practices.
- Maintain accurate organizational charts and reporting relationships.
- Coordinate with outside legal counsel, benefits brokers, payroll providers, and other professional resources when necessary.
Employee Engagement & Organizational Development
- Support initiatives designed to strengthen employee communication, engagement, recognition, and retention.
- Coordinate employee engagement surveys and assist leadership with evaluating results and developing action plans.
- Support employee recognition programs and workplace culture initiatives.
- Conduct exit interviews and assist with retention initiatives.
- Identify HR trends and opportunities to improve the employee experience.
- Help develop HR processes and infrastructure that support the continued growth of River Ridge Dermatology.
HR Reporting & Analytics
Develop and maintain regular HR reporting for leadership, including headcount and staffing levels, open positions, recruiting activity, employee turnover and retention, overtime and payroll trends, attendance and PTO trends, benefit enrollment, workers compensation activity, employee relations trends, and training and compliance requirements.
Qualifications
Required
- Bachelors degree in Human Resources, Business Administration, Healthcare Administration, Accounting, or a related field, or an equivalent combination of education and relevant experience.
- Minimum of 3 to 5 years of progressive human resources experience.
- Hands-on experience processing payroll and managing employee timekeeping.
- Experience with employee relations, performance management, and workplace investigations.
- Working knowledge of federal and state employment laws, wage and hour requirements, and HR compliance.
- Strong attention to detail and demonstrated commitment to payroll accuracy.
- Excellent written and verbal communication skills.
- Strong organizational, judgment, and problem-solving skills.
- Ability to manage multiple priorities and work independently.
- Ability to handle sensitive employee, payroll, and compensation information with discretion and confidentiality.
- Proficiency with payroll, timekeeping, benefits, and standard business software.
Preferred
- HR and payroll experience within healthcare, a medical practice, or a multi-location organization.
- SHRM-CP, SHRM-SCP, PHR, or SPHR certification.
- Payroll certification or significant payroll administration experience.
- Experience supporting an organization of approximately 75 to 150 employees.
- Experience developing or improving HR policies, processes, and infrastructure.
