Description

Mabbett & Associates, Inc. (Mabbett®), an award-winning and leading environmental, health and safety consulting, and engineering firm servicing federal, state and local agencies, and private commercial, institutional and industrial clients nationally. This is a full-time position reporting to the Human Resources Director. The coordinator will support employees across the organization, including those located in satellite offices in Rhode Island, Virginia, and New York, as well as remote employees. Responsibilities will include supporting daily HR operations, responding to general HR inquiries, reconciling benefits, assisting with internal projects and programs, maintaining employee records, and performing other related duties.

 

This position is based in Stoneham, Massachusetts. This is an in-office position; telework will not be permitted for this role.

Job Responsibilities

Reporting to the Human Resources Director, the Human Resources Coordinator will collaborate closely with the HR team and employees at all levels of the organization. Responsibilities will include, but are not limited to:

  • Provide administrative support to the HR department, including scheduling meetings, interviews, medical examinations, and drug-testing appointments; compiling data; preparing and maintaining reports; creating and updating forms and templates; posting documents to the corporate intranet; posting job advertisements; filing; and entering data into HR information system.
  • Provide HR support to on-site and remote employees; respond to internal and external inquiries regarding HR policies, procedures, and practices.
  • Create, organize, and maintain paper and electronic employee records.
  • Coordinate pre- and post-employment activities, including ordering background checks, conducting telephone screenings and reference checks, reviewing new-hire documentation, supporting I-9 and E-Verify compliance activities, and conducting new hire orientation meetings.
  • Audit benefit enrollments to verify appropriate coverage under health, vision, dental, flexible spending, and disability plans.
  • Support the organization’s corporate training and professional development program.
  • Assist with annual compliance projects.
  • Support the performance management process.
  • Assist with aspects of the firm’s security program.
  • Support ad hoc projects and perform other duties as assigned.

Qualifications

  • Bachelor’s degree in business, human resources management, or a related field.
  • Three years of relevant human resources experience, preferably with a consulting or engineering firm, professional services organization, or government contractor.
  • Experience in multiple areas of human resources, including recruiting, training and development, benefits, and compliance.
  • General knowledge of state and federal employment laws.
  • Strong attention to detail and excellent organizational, interpersonal, and written and verbal communication skills.
  • Proactive, solutions-oriented approach to work with the ability to handle confidential and sensitive information appropriately.
  • Experience managing difficult situations professionally and diplomatically.
  • Excellent time-management skills – must be to successfully manage multiple priorities, work independently, consistently meet deadlines, and perform effectively in a fast-paced environment.
  • Proficiency in Microsoft® Word and Excel. Experience with Paylocity and Deltek Vantage is preferred.
  • U.S. citizenship and the ability to obtain and maintain, or currently possess, a federal security clearance.
  • Ability to successfully complete a pre-employment drug screening, including screening for cannabis.
