We are seeking an organized, customer-focused Human Resources Office Coordinator to provide administrative and operational support to the Human Resources Department. What Youll Do
- Serve as the primary point of contact for employees, applicants, vendors, and visitors, providing exceptional customer service.
- Coordinate daily administrative operations for the Human Resources Department.
- Manage calendars, meetings, schedules, and departmental communications for HR leadership.
- Support employee onboarding, including new hire documentation, orientation logistics, and pre-employment processes.
- Assist employees and managers with HR forms, policies, procedures, and general inquiries.
- Maintain confidential employee records and HR documentation in compliance with organizational and regulatory requirements.
- Prepare correspondence, reports, presentations, meeting minutes, spreadsheets, and other business documents.
- Utilize HRIS, applicant tracking systems, databases, and Microsoft Office applications to manage employee data and generate reports.
- Coordinate employee ID badge administration and respond to badge-related requests.
- Process employment verification requests and maintain labor law postings and departmental notices.
- Coordinate department meetings, employee engagement activities, recognition programs, and special events.
- Support departmental audits, surveys, reporting requirements, purchasing activities, and special projects.
- Maintain office supplies, manage incoming and outgoing mail, and provide cross-functional support across the HR team.
- Exercise professionalism and discretion when handling confidential employee and organizational information.
What Youll Bring
- Three (3) to five (5) years of administrative or clerical experience, preferably within Human Resources.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Ability to prioritize multiple assignments while working in a fast-paced environment with frequent interruptions.
- Outstanding customer service and interpersonal skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
- Experience using HRIS, payroll, applicant tracking, or document management systems preferred.
- Ability to prepare reports, presentations, and business correspondence with a high level of accuracy.
- Demonstrated ability to maintain confidentiality and exercise sound judgment.
- Bilingual English/Spanish skills preferred.
Requirements
- High school diploma or equivalent required.
- Associate degree in Business Administration, Human Resources, or a related field preferred.
- PHR certification preferred.
- Ability to obtain and maintain an LA City Fire Card within the first 30 days of employment.
- Must maintain all required certifications, mandatory education, and occupational health requirements in accordance with hospital policy.
