Position Summary
The Human Resources Coordinator provides hands-on administrative and associate-support services that help create an exceptional workplace culture at Hancock Hotel. This role supports the full associate experience, including recruiting coordination, onboarding, training, recognition, employee records, payroll support, and Human Resources compliance.
As the on-property Human Resources coordinator for a 99-room luxury boutique hotel, this position works closely with the General Manager, department leaders, and Corporate Human Resources to ensure associates feel welcomed, supported, informed, and recognized. The Human Resources Coordinator reports directly to the General Manager and works in partnership with the Corporate Director of Human Resources.

Essential Responsibilities
Associate Support & Culture
- Serve as a welcoming, approachable resource for associates and direct concerns to the appropriate manager, General Manager, or Corporate Human Resources partner.
- Assist with associate recognition programs, celebrations, engagement activities, and hotel events.
- Support associate communication initiatives, including bulletin boards, newsletters, announcements, surveys, and departmental updates.
- Build positive working relationships with associates across all hotel departments.
- Help maintain a professional, respectful, inclusive, and engaging workplace environment.
Recruitment & Hiring Support
- Coordinate job postings, applicant tracking, interview scheduling, candidate communication, reference checks, and pre-employment requirements.
- Partner with department leaders to ensure a timely, professional, and welcoming candidate experience.
- Assist with recruiting events, community outreach, and local talent sourcing efforts.
- Maintain accurate applicant and hiring documentation in accordance with company procedures.
- Prepare offer letters and new-hire materials for review and approval by the General Manager and/or Corporate Human Resources.
Onboarding & Associate Records
- Coordinate new-hire orientation, employment paperwork, uniform needs, required training, and departmental onboarding checklists.
- Ensure all new-hire files, I-9 documentation, acknowledgments, and required compliance records are complete and properly maintained.
- Conduct onboarding follow-up with new associates and communicate concerns or needs to department leaders.
- Maintain accurate, confidential employee records and Human Resources Information System data.
- Process personnel changes, including transfers, promotions, status changes, and separations, under the direction of leadership and Corporate Human Resources.
Human Resources Administration
- Support the administration of Human Resources policies, procedures, benefits communications, leave documentation, and associate programs.
- Assist with payroll review by tracking missing punches, timecard corrections, and payroll-related questions in coordination with department leaders.
- Maintain confidential files and ensure records are organized, current, and retained according to company requirements.
- Prepare routine reports, trackers, and administrative documents related to staffing, turnover, training, attendance, and associate engagement.
- Coordinate required postings, licenses, compliance notices, and Human Resources documentation.
Training & Development
- Coordinate orientation, required compliance training, and hotel-wide learning initiatives.
- Track completion of required training and follow up with associates and department leaders as needed.
- Assist department leaders with training materials, schedules, sign-in sheets, and training records.
- Support corporate Human Resources initiatives, leadership development programs, and associate learning opportunities.
Safety, Workers' Compensation & Compliance
- Assist with workers' compensation documentation, incident reports, claim communication, and return-to-work paperwork under the direction of the General Manager and Corporate Human Resources.
- Support workplace safety training, associate acknowledgments, and compliance recordkeeping.
- Promptly elevate associate relations concerns, safety issues, policy questions, and potential compliance matters to the General Manager and/or Corporate Human Resources.
- Maintain confidentiality and handle all Human Resources information with professionalism and discretion.
Qualifications
Experience
- Two to three years of Human Resources, administrative, hospitality, or related experience preferred.
- Experience in a hotel, restaurant, retail, healthcare, or other fast-paced service environment is preferred.
- Experience with recruiting coordination, onboarding, employee files, payroll support, or training administration is a plus.
Education
- High school diploma or equivalent required.
- Associate degree, Human Resources certificate, or coursework in Human Resources, Business Administration, Hospitality, or a related field preferred.
- Equivalent combination of education and experience will be considered.
Knowledge & Skills
- Strong organizational skills and attention to detail.
- Excellent verbal, written, and interpersonal communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Ability to manage multiple priorities and meet deadlines in a fast-paced hotel environment.
- Strong customer-service mindset and ability to build positive relationships with associates and leaders.
- Proficiency with Microsoft Office, email, HRIS systems, payroll platforms, and applicant tracking systems preferred.
- Ability to work independently while knowing when to seek direction or escalate an issue.
Physical Requirements
- Primarily office-based work with frequent movement throughout the hotel.
- Ability to sit, stand, walk, bend, and use a computer for extended periods.
- Occasionally lift or move up to 20 pounds.
- Flexibility to support associate orientations, events, and operational needs that may occasionally occur outside normal office hours.
