Description
The HR Coordinator, Employee Relations and Compliance position will support HR management team with coordination and case management responsibilities for Employee Relations cases, Title IX/Civil Rights cases, grievances, and investigations. This HR team member will provide support and coordination in the effective and consistent application of Human Resources policies, practices, and procedures.
Essential Functions/Duties
- Responsible for maintenance and integrity of highly confidential information.
- Maintain complete and accurate document files.
- Track employee relations cases proactively ensuring that deadlines are met for follow-up meetings, legal correspondence, and receiving/filing acknowledgements of documents.
- Serve as an initial point of contact for employee relations and compliance through administration of Compliance email and Maxient case management software.
- Provide guidance to supervisors and employees on Polk State College Procedures and policies advising proper protocol for addressing employee issues and complaints.
- Develop written documentation and facilitate employee relations/performance coaching discussions to resolve concerns in a successful manner in compliance with federal, state, and local laws and College regulations.
- Assist with inquiries and investigations into complaints, alleged policy/regulation violations, and grievances as needed.
- Assist the Title IX Coordinators in communications and case management of Title IX and Civil Rights cases.
- Assist the College Designee for Grievances filed under Procedure 6013: The Employee Grievance Procedure by coordinating logistics and correspondence of Grievance processes including but not limited to scheduling rooms/attendees, sending notices, organizing documents, and updating case files.
- Consult with HR management on compliance and legal concerns.
- Provide support with Public Records requests as needed.
- Assist with reviews of Polk State College HR-related Rules, Procedures, handbooks and policies to remain in compliance with federal, state and local laws. Ensures approved changes are documented and housed in proper areas.
- Work with the HR Coordinator and HR Specialists, as needed, to ensure appropriate training for compliance and employee relations is delivered via the learning management system.
- Provides professional support in other functional areas as needed as part of HR service delivery.
Consulting Tasks:
- Work with faculty and staff in handling employee relations personnel issues.
- Work with HR team, the business office, and all college departments in providing HR service.

Required Knowledge, Skills and Personal Qualifications
- Excellent organizational, scheduling, follow-though, and decision-making skills.
- Knowledge and understanding of College organization, goals and objectives, Rules, Procedures, and policies.
- Ability to manage conflict and handle delicate situations with tact and care.
- Knowledge and skills in software management including Microsoft Office 365, Teams, SharePoint, Zoom, HRIS, and case management programs. Knowledge of NEOED, Ellucian Banner, and/or Maxient a plus.
- Working knowledge of federal, state, and local employment laws, regulations, and areas of compliance including FLSA, Title IX, Civil Rights, Title VII, US work authorizations, FMLA, and ADA.
- Ability to exercise discretion and independent judgment in daily assignments, to operate at a high level of confidentiality, and to act with a strong dedication to ethical decision-making.
- Strong interpersonal communication skills and the ability to effectively communicate orally and in writing with a wide range of individuals including large groups.
- Ability to work in fast paced environment with tight deadlines while managing multiple priorities.
- High level of ability to think and operate strategically and creatively while adhering to compliance.
Working Conditions/Additional Information
- This position is a full-time on-campus position located on our Winter Haven or Lakeland campus. (Remote/hybrid options are not available.)?
- This position may frequently travel in-county as necessary. Reliable transportation is required for travel to campuses, centers, and community locations.?Possession of a valid Florida's Driver's License is required (or must be eligible to obtain a Florida's license within 30 days).
- Weekend and evening work may be required.
- Position may be required to work during College closures (such as winter/spring break and inclement weather closures).?
Salary and Benefits Information
- This position is level P12.

Required Education
Bachelor's degree from a regionally accredited college or university is required.
Required Experience
A minimum of 2 years of Human Resources experience such as:
- Experience with independently handling employee relations and performance issues, administering training and compliance programs, and ensuring adherence to workplace policies.
- Experience serving as a primary point of contact for employees in an HR role with the ability to effectively communicate and explain complex concepts to employees and stakeholders at all levels of the organization.
Alternate Credential
- Associate's degree from a regionally accredited college or university with 4 years of HR experience (as outlined).
OR
- High School diploma (or equivalent) with 6 years of HR experience (as outlined).
Preferred Education
- Bachelor's degree in Human Resources, Employment Law, Organizational Development, Psychology/Interpersonal Communications, or a related area from a regionally accredited college or university is preferred.
- HR Certification from SHRM or HRCI preferred.
- Certification in Title IX and Civil Rights preferred.
Preferred Experience
- Experience in employee relations, compliance, and/or Title IX and Civil Rights preferred.
- Experience in higher education is preferred.
