Job Title: HR Assistant Location: 641 Lexington Ave, New York, NY Start Date: ASAP Duration: 6 Months Schedule: Part-time, 4 days a week onsite (Flexible, but must include Thursdays) Hours: 9:00 AM 5:00 PM (Flexible) with a 30-minute lunch break Overtime: No OT Interview Process: In-person Job Summary We are seeking a detail-oriented and proactive Human Resources Temporary Consultant based in New York, NY, to provide high-level administrative and operational support to a dynamic HR department. This role is ideal for a professional who excels at multitasking in a fast-paced environment and has experience managing sensitive, confidential information within state and agency guidelines.
The successful candidate will play a key role in ensuring the daily efficiency of HR operations, from talent acquisition support to benefits administration and records management. Key Responsibilities Administrative & Operational Support
Provide comprehensive administrative support, including data entry, filing, mail distribution, and office supply management.
Manage high-volume communication by answering phone calls and responding to email inquiries promptly.
Draft and prepare essential HR documents such as canvass letters, PAFs, offer letters, FMLA documentation, and NYSLERS/Civil Service requests.
Maintain and update HRIS systems (including PIMS, FoxPro, and SAP) to ensure data integrity.
Recruitment & Onboarding
Assist with posting vacancies on ADP, HCR, and various New York State platforms.
Review, qualify, and distribute incoming resumes from shared mailboxes to HR Specialists.
Request and manage SLMS accounts for all new hires.
Benefits & Compliance
Manage enrollment processing for NYSLERS and process agency reimbursement program documents weekly.
Liaise with the Accounting department to coordinate annual enrollment initiatives, including Option Transfers, Vacation buybacks, and AFLAC.
Support the Office of Legal Affairs with the annual financial disclosure process and assist in the preparation of annual internal controls.
Records & Lifecycle Management
Create and maintain personal history files and CASO documents on a daily basis.
Coordinate with Facilities bi-annually for the storage and close-out of separated employee personnel files.
Facilitate bi-annual HR shredding and clean-up processes to maintain organizational compliance.
Requirements
Experience: Previous experience in an HR administrative or consultant role, specifically within New York public or agency sectors, is highly preferred.
Technical Proficiency: Strong skills in Microsoft Office (specifically Excel for spreadsheet creation) and experience with HRIS platforms like SAP or ADP.
Communication: Exceptional written and verbal communication skills for liaising with agency units, vendors, and staff.
Discretion: Proven ability to handle highly confidential and sensitive information with the utmost professional integrity.
Organization: Strong ability to manage multiple "ad hoc" projects and reports simultaneously while meeting tight deadlines.
