Job Details

The Human Resources Assistant provides administrative and operational support to the Human Resources department. This position helps ensure that onboarding, employee records, recruiting activities, compliance documentation, access-card administration, and routine employee requests are handled accurately and promptly.

The HR Assistant will work with confidential employee and business information and must demonstrate professionalism, discretion, organization, and attention to detail. This position also provides essential administrative coverage while the Human Resources Manager is addressing employee relations matters, investigations, payroll, compliance requirements, leadership priorities, and other time-sensitive responsibilities.

Key Accountabilities

Onboarding and New-Hire Administration
  • Prepare onboarding packets and ensure all required new-hire documents are complete.
  • Enter new-hire information into ADP and verify accuracy before employees begin work.
  • Follow up on missing forms, signatures, identification, and employment documentation.
  • Assist with Form I-9 processing, E-Verify, and other employment eligibility requirements.
  • Coordinate pre-employment requirements, including background checks, drug screenings, physical examinations, and required testing.
  • Schedule new-hire orientations and communicate start times, reporting instructions, required documentation, and first-day expectations.
  • Track onboarding progress to ensure new employees are fully prepared before their scheduled start dates.
  • Prepare and issue employee access cards and coordinate required system or facility access.

Employee Records and Document Management
  • Organize and scan personnel, payroll, benefits, training, and compliance documents.
  • Maintain accurate and organized electronic employee files.
  • Conduct document and personnel-file audits to identify missing or incomplete records.
  • Support personnel-file retention requirements and ongoing record organization.
  • Prepare standard employment documents, including employment verification letters, status-change forms, and separation paperwork.
  • Maintain the confidentiality and security of employee and company records.

Recruiting Support
  • Review applications and resumes based on established position requirements.
  • Contact candidates and conduct initial telephone screenings when assigned.
  • Schedule interviews and coordinate availability among candidates, hiring managers, and recruiters.
  • Maintain accurate candidate and requisition status updates in the applicant tracking system.
  • Prepare interview materials and assist with candidate communication and follow-up.
  • Support hiring managers and recruiters with other recruitment-related administrative needs.

Employee Support
  • Respond to routine employee questions regarding payroll, timekeeping, benefits, company policies, schedules, and HR processes.
  • Assist employees with ADP access, password resets, and general system navigation.
  • Direct employee relations concerns and other complex or sensitive matters to the appropriate HR representative.
  • Provide timely administrative coverage so urgent employee needs are addressed when the Human Resources Manager is unavailable.

Compliance and Training Support
  • Monitor and maintain required federal, California, and Long Beach workplace postings.
  • Track required employee training, policy acknowledgments, certifications, and completion deadlines.
  • Monitor upcoming introductory-period reviews, performance evaluations, licenses, and certification expiration dates.
  • Assist with employment compliance audits and document requests.
  • Provide administrative support for leaves of absence, workers’ compensation claims, and workplace accommodation documentation.
  • Help ensure HR forms, processes, and employee records remain current and audit-ready.

Employee Engagement and General Administration
  • Support employee engagement activities, recognition programs, town halls, and other employee events.
  • Prepare materials, communications, sign-in sheets, and other documentation for HR meetings and events.
  • Maintain HR supplies, employment forms, onboarding packets, and orientation materials.
  • Prepare reports, trackers, correspondence, and other HR-related documents.
  • Perform additional HR administrative duties and special projects as assigned.

Qualifications
  • High school diploma or equivalent required.
  • Associate degree or coursework in Human Resources, Business Administration, or a related field preferred.
  • One or more years of administrative, human resources, recruiting, payroll, or related experience preferred.
  • Experience working with ADP Workforce Now or a similar human resources information system is strongly preferred.
  • Experience with applicant tracking systems, Form I-9 processing, E-Verify, onboarding, or employee-record administration is preferred.
  • Proficiency in Microsoft Word, Excel, Outlook, and Teams.
  • Bilingual English and Spanish communication skills are preferred.
  • Previous experience working in a manufacturing, industrial, or multi-shift environment is a plus.
