REPORTS
TO:
Assistant
Superintendent
for
Human
Resources
JOB
GOAL:
Serves
as
the
first
point
of
contact
for
the
Central
Office
building-welcoming
visitors
and
employees.
Assists
the
Office
of
Human
Resources
in
the
day-to-day
administrative
tasks
while
providing
clerical
and
administrative
support.
This
role
plays
a
key
part
in
maintaining
efficient
HR
processes,
managing
office
communications,
onboarding
tasks,
records
maintenance.
Assists
the
Business
Office
with
tasks
that
align
with
the
responsibilities
of
the
Office
of
Human
Resources.
PERFORMANCE RESPONSIBILITIES: Front Desk and Visitor Management: 1.
Greet
visitors
and
employees
in
a
professional
and
welcoming
manner
and
assist
them
to
their
final
destination
by
alerting
the
receiving
party.
2.
Utilize
the
visitor
management
system
when
allowing
visitors
to
enter
the
Central
Office
Building.
3.
Answer,
screen
and
forward
incoming
phone
calls
and
route
inquiries
to
the
appropriate
staff
member.
4.
Respond
to
general
employee
and
public
inquiries.
5.
Processes
and
maintains
security
identification
cards.
6.
Sort
and
distribute
incoming
mail,
packages
and
correspondence
in
preparation
for
delivery
to
schools. Office Operations 1.
Assists
the
members
of
the
Human
Resources
team
to
perform
day-to-day
HR
tasks.
2.
Oversees
all
district
substitutes
and
facilitates
the
process
from
onboarding,
maintenance,
support
and
renewal.

Creates,
maintains,
updates,
and
secures
certificates
of
instructional
assistant
staff.
4.
Assists
in
creating
purchase
orders
for
the
Office
of
Human
Resources.
5.
Collects
and
maintains
all
P.L.
2018c
requirements
for
all
district
employees
including
substitutes
and
contractors.
6.
Maintains
employee
records,
personnel
files,
and
electronic
databases
ensuring
strict
confidentiality.
7.
Assists
in
preparations
for
the
New
Hire
Orientation
program.
8.
Assist
in
preparations
for
interviews
hosted
by
the
Office
of
Human
Resources.
9.
Monitor
and
order
HR
office
supplies.
10.
Assists
the
HR
Team
with
monthly
Board
of
Education
agendas.
11.
Facilitates
the
Princeton
University
Work
Study
student
volunteer
onboarding
process.
12.
Provide
notary
services
for
mandatory
documentation
for
district
employees.
13.
Update
and
maintain
master
employee
board.
14.
Coordinates
the
annual
retiree
reception.
Information and Communications 1.
Creates
and
publishes
communications
materials
for
the
Office
of
Human
Resources.
2.
Assists
the
HR
Team
with
onboarding
new
employees
including
substitutes,
contractors,
student
teachers,
coaches
and
volunteers..
3.
Coordinates
annual
trainings
for
staff
through
GCN
in
partnership
with
the
Assistant
Superintendent
of
Human
Resources.
4.
Sort
and
distribute
and
departmental
correspondence
for
the
Office
of
Human
Resources. Other 1.
Perform
and
complete
other
duties
as
assigned
by
the
Assistant
Superintendent
of
Human
Resources.
