As a Human Resources Administrative Assistant, you'll provide essential administrative support to our Human Resources team while helping create a positive experience for applicants, new hires, and employees. This role is a great fit for someone who is organized, detail-oriented, comfortable working with technology, and enjoys supporting others in a busy and collaborative office environment.

Position Details

Location: Mellenville, NY

Schedule: Monday-Friday, 8:00 AM - 4:30 PM (30-minute unpaid lunch)

Hours: 40 hours per week

Pay Rate: $17.50 per hour

Key Responsibilities

  • Provide day-to-day administrative support to the Human Resources Department while maintaining professionalism and confidentiality.
  • Maintain applicant information, personnel records, electronic files, and other HR documentation.
  • Perform data entry and maintain accurate information using HRIS systems, Excel, and other computer programs.
  • Schedule and conduct first-day paperwork and help ensure required documents are received by Human Resources.
  • Assist with preparing for new employee orientation, including scheduling, confirming attendance, preparing paperwork, coordinating lunch, and setting up the training space.
  • Conduct employment verifications and respond to internal and external customer service requests.
  • Prepare and distribute correspondence, mailings, reports, meeting minutes, and other HR materials.
  • Maintain departmental filing systems and assist with document retention requirements for personnel files.
  • Coordinate HR calendars, meetings, events, appointments, and other department activities.
  • Gather and organize information for reports, projects, meetings, and departmental deadlines.
  • Maintain purchase order records, order departmental supplies, and assist with general office operations.
  • Provide professional and courteous assistance to employees, applicants, visitors, and other members of the organization.
  • Attend required meetings and training and assist with additional HR projects as needed.
