The City of Laramie Human Resources Department is seeking a Human Resources Assistant. Under general supervision, this role performs a range of complex secretarial, clerical, and administrative tasks and provides information and support to employees and the general public.
Duties and Responsibilities:
- Performs a full range of administrative and operational duties to support the Human Resources Division.
- Provides administrative support for recruitment, records management, HRIS, benefits administration, general office operations, and special projects.
- Prepares, copies, distributes, and files HR documents, ensuring accurate recordkeeping and strict confidentiality of employee personnel files.
- Maintains accurate employee records by processing HRIS transactions, including personnel status updates, evaluations, licenses, address and emergency contact changes, and other employee data, in compliance with applicable regulations.
- Prepares interview packets and various recruitment materials to support the hiring process.
- Processes departmental expenses and submits payroll-related requests, including direct deposit, tax withholding, wage garnishments, and other authorized payroll changes.
- Completes written employment verification requests and copies employment records as authorized.
- Tracks new-hire benefits enrollments to ensure timely and accurate processing.
- Coordinates outgoing departmental mail, including certified mail, courier services, and shipping.
- Orders and maintains office supplies, materials, and equipment.
- Operates standard office equipment and software to prepare correspondence, reports, and other HR documents.
- Performs other related duties as assigned.
Qualifications and Requirements:
A combination of the following experience and training would be qualifying.
- High school diploma or GED.
- One year of clerical or secretarial experience in an office environment.
- Perform a variety of responsible clerical and administrative duties accurately and efficiently, with minimal supervision.
- Maintain accurate records and prepare routine reports and correspondence.
- Communicate effectively, both orally and in writing, with employees, departments, and the public.
- Respond professionally to inquiries and deliver courteous customer service.
- Work independently, exercising sound judgment and initiative.
- Establish and maintain positive, cooperative working relationships with employees, departments, and the public.
- Handle confidential Human Resources information with discretion and always maintain strict confidentiality.
