Responsibilities:
Organizes and manages daily schedule, informing senior leaders of upcoming commitments/ responsibilities & performing appropriate follow-up.
Screens calls, provides general information to callers, transfers to appropriate person
Screens incoming email/miscellaneous correspondence & provides necessary administrative follow-up and/or notifies senior leaders of issues requiring immediate attention
Plans meetings and events including, but not limited to, guest and invite lists, menu selections, venue selection, transportation, hotel accommodations, and entertainment.
Prepares presentations and miscellaneous correspondence
Prepares / monitors expense reports
Coordinates travel arrangements (domestic & international). Includes coordinating
CSP group travel, as well as arrangements for guests
Prepares detailed travel itineraries and compiles documents for travel related meetings
Orders office supplies and other materials.
Greets and screens visitors at the reception area.
Qualifications:
Requires a high school diploma. Associates Degree in Finance, Business, or some college preferred.
A minimum of 5 years' experience as an Administrative Assistant.
Demonstrated excellence in personal computer Windows applications including: Microsoft Outlook, Microsoft Word, PowerPoint, and Microsoft Excel.
Must possess strong communication skills, be proactive in problem solving, highly organized with ability to manage multiple projects, work under pressure at times, and handle confidential matters with discretion.
Physical Requirements:
Generally works in an office environment including extensive telephone and computer work.
Job requires sitting, standing, and walking, mostly at the incumbent's discretion.
Normal visual acuity required for computer work.
Occasional lifting of office supplies or files (less than 25 lbs.).
