Position Summary

The Global HR Systems Functional Lead serves as the primary business process, and requirements lead for the BTIG international Workday implementation. This contractor will partner directly with HR, Payroll, Talent, Technology, and regional stakeholders across Europe and APAC to understand current-state processes, identify country-specific requirements, and translate business needs into configuration-ready requirements for Workday product consultants and technical teams.

This role is not responsible for primary system configuration. Instead, the Functional Lead will facilitate requirements workshops, document process and policy decisions, manage country-specific deltas, and ensure requirements are translated into clear functional specifications that can be executed by Workday configuration analysts, integration developers, and testing teams.

Success will be measured by the ability to drive decision-making, reduce ambiguity, accelerate requirements gathering, and deliver complete, actionable requirements that enable timely implementation.

Key Responsibilities:

Requirements Elicitation & Business Process Discovery

  • Lead requirements-gathering sessions with HR, Payroll, Talent, Recruiting, and operational stakeholders across multiple countries and regions.
  • Facilitate workshops to understand current-state business processes, regulatory requirements, policy variations, and operational needs.
  • Identify differences between country-specific requirements and established Workday design standards.
  • Conduct gap assessments and document business process, policy, and system impacts.
  • Drive discussions to resolve ambiguity and obtain stakeholder decisions required for delivery.

Functional Analysis & Documentation

  • Translate business requirements into detailed functional specifications and configuration-ready requirements.

  • Create and maintain:

  • Business requirements documents

  • Process maps

  • User stories

  • Decision logs

  • Requirements traceability matrices

  • Country-specific delta documentation

  • Test scenarios and acceptance criteria

  • Ensure requirements are clearly understood by configuration analysts, integration teams, and testing resources.

  • Maintain complete traceability from business requirements through implementation and testing.

Global Stakeholder Leadership

  • Serve as the primary liaison between regional business stakeholders and implementation teams.
  • Coordinate discussions across Europe, APAC, and North America to achieve alignment on global processes.
  • Facilitate working sessions, solution reviews, design reviews, and decision forums.
  • Escalate unresolved decisions and risks to program leadership.
  • Build consensus among stakeholders with competing business, regulatory, or operational needs.

Workstream Coordination

  • Coordinate requirements activities across multiple functional areas, including:

  • Core HCM

  • Recruiting

  • Onboarding

  • Talent

  • Compensation

  • Time and Absence

  • Payroll

  • Learning

  • Maintain and manage a centralized requirements backlog and country delta log.

  • Track open issues, risks, assumptions, and dependencies.

  • Ensure workstreams remain aligned to program milestones and implementation timelines.

Testing & Readiness Support

  • Support development of testing strategies, test cases, and user acceptance testing scenarios.
  • Validate that delivered solutions meet documented business requirements.
  • Assist in triaging defects and determining root-cause ownership.
  • Support deployment readiness activities and transition to production support teams.

Deliverables:

The contractor will be expected to produce the following deliverables throughout the engagement:

  • Country requirements assessments
  • Process flow documentation
  • Functional requirements packages
  • Configuration-ready user stories
  • Country delta logs
  • Decision logs
  • Requirements traceability matrices
  • Testing scenarios and acceptance criteria
  • Status updates and stakeholder communications
  • Risk and dependency tracking documentation

Required Experience

  • 7+ years of business analysis, functional consulting, or HR systems implementation experience.
  • Demonstrated experience facilitating requirements workshops with global stakeholders.
  • Experience translating business processes into system requirements for enterprise platforms.
  • Experience supporting global HR, Talent, Recruiting, Payroll, or Workforce Management initiatives.
  • Strong ability to document complex processes and convert business needs into executable requirements.
  • Experience managing cross-functional stakeholders and driving decisions in ambiguous environments.
  • Exceptional facilitation, communication, and organizational skills.

Preferred Experience

  • Experience supporting Workday implementations or major Workday transformation programs.
  • Experience working with multi-country HR processes and regional regulatory requirements.
  • Experience supporting international HR transformations involving Europe and APAC populations.
  • Experience with Agile delivery methodologies.
  • Familiarity with Workday HCM, Recruiting, Onboarding, Talent, Compensation, Payroll, Time, Absence, or Learning modules.
  • Experience creating requirements for configuration teams rather than performing direct system configuration.
