Position Summary
The HR Operations Coordinator supports the efficient delivery of day-to-day Human Resources services, with primary responsibility for employee onboarding administration, credentialing management, new-hire training coordination, timekeeping and workforce scheduling support, and first-level response to routine employment questions. Working closely with recruiters and HR business partners, the coordinator helps ensure new employees complete required pre-employment and onboarding activities accurately and on time, including scheduling American Heart Association classes when required upon hire. This position maintains confidential employee records, monitors deadlines, resolves routine administrative issues, and escalates complex or sensitive matters to the appropriate HR team member.
Essential Position Responsibilities
- Coordinate the administrative components of employee onboarding from accepted offer through completion of required new-hire activities, supporting a timely, organized, and welcoming experience.
- Partner with recruiters and HR business partners to confirm start dates, onboarding requirements, employment information, documentation status, and readiness for orientation.
- Initiate, collect, review, track, and maintain required onboarding documents, forms, acknowledgements, clearances, and employee records; follow up promptly on missing, incomplete, or inconsistent information.
- Manage credentialing and recredentialing workflows for assigned employee groups, including verification, expiration tracking, renewal reminders, documentation, and escalation of compliance concerns.
- Schedule American Heart Association courses required upon hire, including Basic Life Support and other role-specific classes as applicable; communicate course details and monitor completion.
- Coordinate with Employee Education, Employee Health, hiring departments, recruiters, and HR business partners to resolve onboarding barriers and confirm completion of pre-employment requirements.
- Provide timekeeping and scheduling support, including routine system entry, schedule maintenance, timecard review, correction follow-up, deadline tracking, and guidance on established procedures.
- Serve as a first point of contact for basic employment questions related to onboarding, orientation, timekeeping, scheduling, HR systems, policies, and available resources.
- Provide accurate information within the scope of the role and route employee relations, accommodation, leave, compensation, benefits, policy interpretation, or other complex matters to the appropriate HR business partner or subject-matter expert.
- Enter, audit, and maintain accurate information in HR, applicant tracking, learning, credentialing, timekeeping, scheduling, and document-management systems.
- Prepare routine reports, status updates, rosters, completion lists, and exception reports; identify approaching deadlines or process gaps and communicate them to HR leadership.
- Maintain confidentiality and protect employee information in accordance with organizational policy and applicable legal and regulatory requirements.
- Support HR projects, audits, process improvement, cross-training, and other operational priorities; perform additional related duties as assigned.
Qualifications
- Education: High School Diploma or GED, required. Associate degree in human resources, business administration, health care administration, or a related field, preferred. Relevant HR experience may be considered in lieu of the education requirement.
- Licensure and Certifications: Human resources certification, such as aPHR, PHR, or SHRM-CP, preferred.
- Experience: Two years of administrative, human resources, onboarding, credentialing, scheduling, timekeeping, or related experience, required. Experience in a health care organization and with HR information systems, applicant tracking systems, learning platforms, or workforce management systems, preferred.
Knowledge, Skills, and Abilities
- Working knowledge of HR onboarding processes, employee records, credential tracking, scheduling, timekeeping, and confidentiality requirements.
- Strong organizational and follow-through skills, with the ability to manage multiple deadlines, employee groups, and process steps accurately.
- Excellent customer service and communication skills, with the ability to explain routine processes clearly and professionally to candidates, employees, leaders, and HR colleagues.
- Sound judgment in recognizing matters that require escalation to a recruiter, HR business partner, HR leader, or subject-matter expert.
- High level of accuracy and attention to detail when reviewing credentials, employment documents, time records, schedules, and system data.
- Ability to establish effective working relationships and collaborate within an HR team that includes recruiters and HR business partners.
- Proficiency with Microsoft Office and the ability to learn and use HR, credentialing, learning, timekeeping, scheduling, and document-management systems.
- Ability to maintain discretion, safeguard confidential information, and provide consistent service in a fast-paced environment.
Work Environment: Work is performed primarily in a professional office and health care environment with frequent interaction by telephone, email, virtual platforms, and in person. The position requires extended periods of computer use, attention to detail, and the ability to manage interruptions and competing priorities. Routine movement between HR, education, employee health, and other work areas may be required. Occasional schedule flexibility may be necessary to support orientation, training, payroll deadlines, or operational needs.
