HR & Onboarding Specialist will manage post-hire logistics, coordinate our

new hire orientation programs, complete accurate UKG entries, and track new

hire readiness, while also supporting the broader HR team with day-to-day

administration.

Rate: $21.00 – $26.00/hour

Core Responsibilities & Expectations 

  • Post-Clearance Hiring Coordination: Reach out to new hires as soon as the background check clears to confirm start dates and send welcome packets. Create employee badges, coordinate with managers on workspace readiness, and outline first-week schedules.
  • UKG Data Entry & Management: Accurately enter new hire personal details, tax forms, emergency contacts, direct deposit, and compensation data into UKG so payroll and benefits activate on time. Assist with ongoing updates such as job changes, status updates, and document uploads.
  • State-Specific Onboarding: Make sure new hires in each of the 19 states where we operate receive the correct tax withholding forms, required notices, and policy acknowledgments.
  • IT & Access Provisioning: Partner with the IT department so hardware, email accounts, and software access are ready before an office employee's first day.
  • Orientation Facilitation: Lead the 1-day in-office orientation for office employees and coordinate the 4-day remote orientation for field employees, including scheduling trainers, managing virtual sessions, and tracking attendance and training completion. Orientation covers our mission, culture, core policies, benefits enrollment, and role-specific training.
  • Stakeholder Collaboration: Sync regularly with hiring managers, IT, data team, payroll, quality control and safety to keep role-specific training and team introductions on track.
  • New Hire Support: Serve as a point of contact for new hires during their first 30 to 90 days, collecting feedback and resolving logistical roadblocks.
  • Compliance & Verification: Process and verify employment eligibility documents, including Form I-9, and handle internal and external verification of employment (VOE) requests with strict confidentiality.
  • General HR Support: Assist the HR team with employee file maintenance, policy questions, and routine administrative tasks. Support offboarding coordination, leave and accommodations and cross-functional HR projects focused on process improvement, documentation, and employee experience. Maintain confidentiality and accuracy when handling employee data and sensitive information.

Preferred Experience / Education 

  • Bachelor's degree in Human Resources, Organizational Psychology, Business Administration, or a related field.
  • 2–4 years of experience in HR administration, onboarding, or employee experience roles.
  • Familiarity with HR best practices and employment eligibility (Form I-9) requirements.

Qualifications

  • Excellent communication and interpersonal skills
  • Strong organizational and project coordination skills
  • Patience and a service-minded approach with new hires and managers
  • Comfort facilitating both in-person and virtual sessions
  • Experience with UKG or a similar HRIS is a plus
  • Knowledge of MS Office Suite, including Excel, Word, PowerPoint, and Outlook
