HR Coordinator

Job Summary
TRAIL-EZE is looking for an organized, dependable, and people-focused HR Coordinator to support the day-to-day operations of our Human Resources function.
This is a hands-on HR role working closely with employees, managers, leadership, and outside vendors across a broad range of HR responsibilities. The HR Coordinator will help ensure employees have the support and resources they need while maintaining accurate records, meeting compliance requirements, and keeping HR processes moving forward.
The ideal candidate can manage multiple priorities, communicate effectively, maintain confidentiality, and follow projects through to completion.
Essential Duties and Responsibilities
Recruiting & Onboarding
Coordinate recruiting activities, including job postings, applicant communication, interviews, offers, and hiring documentation.Work with hiring managers to identify staffing needs and move candidates through the hiring process.Coordinate pre-employment requirements, including background checks, drug testing, and motor vehicle records when applicable.Coordinate new-hire paperwork, orientation, onboarding, and employee setup.
Payroll & HR Administration
Support weekly payroll administration and timekeeping processes.Maintain accurate employee information and records within UKG Ready and other HR systems.Process employee changes, including new hires, transfers, pay changes, status changes, and terminations.Maintain organized and confidential personnel records and HR documentation.Provide employees and managers with general HR support and information.
Benefits & Leave Administration
Assist with administration of employee benefits, including medical, dental, life, disability, HSA, 401(k), and supplemental benefits.Coordinate benefit eligibility, enrollment, qualifying events, and employee questions.Support annual benefits renewal and open enrollment processes.Administer FMLA and coordinate short-term disability, long-term disability, and other leave-related processes.Assist with COBRA administration and benefit vendor communications.
Employee Relations & Manager Support
Support managers with employee relations, performance improvement, attendance, and disciplinary matters.Assist with employee complaints, workplace concerns, and investigations.Maintain appropriate documentation and confidentiality when handling sensitive employee matters.Provide guidance and support to managers while helping promote a respectful and collaborative workplace.
Safety, Workers Compensation & Compliance
Coordinate work-related injury and workers compensation processes.Maintain OSHA records and assist with required safety reporting.Coordinate modified duty and return-to-work documentation when applicable.Assist with the company drug and alcohol testing program, including random testing.Support required employee testing and safety-related programs.Assist with compliance with applicable employment laws, regulations, and company policies.
Audits, Reporting & HR Projects
Assist with required annual audits and reporting, including 401(k), OSHA, EEO-1, ACA, Form 5500, insurance, and other applicable requirements.Help develop, update, and implement HR policies, procedures, forms, and processes.Coordinate annual performance review and salary increase processes.Maintain HR calendars and track recurring deadlines and compliance requirements.Support special HR projects and other duties as needed.
Systems, Files & HR Infrastructure
Maintain and utilize UKG Ready and other HR systems.Maintain organized HR files and documentation on the company Share Drive.Utilize recruiting, benefits, payroll, and vendor systems as needed.Ensure HR information is maintained accurately, securely, and confidentially.Identify opportunities to improve HR processes, organization, and efficiency.
Qualifications & Skills
Previous Human Resources experience required.Bachelors degree in Human Resources, Business Administration, or a related field preferred.Working knowledge of employment laws, regulations, and HR best practices.Strong organizational and time-management skills with excellent attention to detail.Strong written and verbal communication skills.Ability to handle sensitive and confidential information appropriately.Ability to manage multiple priorities and meet deadlines.Strong problem-solving and follow-through skills.Comfortable working with HRIS, payroll, benefits, and other business systems.Proficiency with Microsoft Office and general computer applications.Ability to work effectively with employees, managers, leadership, and outside vendors.
