County Administration Administrative and Reception Support - Provides approximately four hours per week of routine administrative and reception support for assigned County Administration offices; greets and directs visitors; answers, screens, and routes telephone calls and general inquiries; receives and distributes mail and deliveries; assists with scheduling, meeting preparation, copying, scanning, filing, data entry, routine correspondence, records organization, and supply requests; maintains confidentiality and refers non-routine or sensitive matters to the appropriate staff member.

As the HR Coordinator at Hamilton County, you will play an important role in keeping Human Resources organized, responsive, and moving forward. You will support key fiscal, purchasing, and administrative processes while helping staff stay informed and prepared to meet important deadlines. Through proactive follow-up, thoughtful problem-solving, and attention to detail, you will help address routine needs before they become larger concerns. Your work will contribute to the effective delivery of HR services and support the department's ability to serve employees and the organization.

  • Human Resources Program and Process Support -Provides administrative and process support for assigned HR programs, projects, and recurring activities, including but not limited to: charitable giving campaigns, ethics disclosure administration, essential employee records, unemployment compensation administration, leave donation, employment verifications, labor law poster administration, and other assigned HR initiatives. Establishes and maintains schedules, tracking tools, confidential files, documentation, and required records; gathers and organizes information, prepares routine correspondence and materials, routes documents for review and approval, communicates requirements and deadlines, and follows up with responsible staff. Supports departmental records retention and destruction activities by organizing records, monitoring applicable retention schedules, and coordinating approved disposition in accordance with established procedures. Monitors outstanding actions and recurring requirements, identifies missing information, approaching deadlines, or process concerns, and initiates appropriate follow-up to support timely completion. Resolves routine matters within established procedures and refers non-routine or sensitive matters to management or the appropriate HR staff member.

Human Resources Office and Operational Support -Provides day-to-day office and administrative support for County Human Resources. Serves as an administrative liaison with County IT, Facilities, and other internal service departments for technology, equipment, facility, and service requests and follows requests through completion. Purchases office supplies and assists with equipment needs, inventory, and other office activities within established guidelines. Supports employee onboarding and offboarding activities, including coordination of equipment, system access, workspace, and related administrative needs. Maintains assigned departmental SharePoint and public website content using approved information, monitors content for needed updates or expiration, and follows up with managers or content owners. Assists with meetings, events, travel, conference registrations, professional memberships, calendars, shared administrative resources, procedures, and records. Identifies routine office needs or service issues, takes appropriate action within established procedures, and refers matters requiring direction or approval to management.

Minimum Qualifications:

  • High School Diploma or GED
  • Knowledge of accounting principles and budgetary process helpful
  • An equivalent combination of training and experience may be substituted for the above qualifications

Hazardous Working Conditions:

  • This position is performed in an office setting with minimal physical hazards. Ergonomic safety practices are recommended due to prolonged screen time and occasional lifting of office supplies. The role may involve periods of mental focus and stress due to workload demands. Compliance with standard safety procedures is expected.
