PURPOSE:

The HR Assistant is responsible for daily administrative and HR duties of the location. They assist the HR Generalist with recruitment, record maintenance, aspects of payroll processing, employee relations, safety and provide clerical support to all office staff. Will support management and the leadership team and act as a liaison between on-site management and employees and the HR Generalist. Will assist with handling and resolving Human Resources issues.
 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist with the recruitment process by screening candidates, obtaining background check authorization, answering candidate questions and scheduling interviews.
  • Enter time off requests in the HRIS.
  • Communicate unplanned absences to management team/enter in HRIS.
  • Process compensation adjustment paperwork, obtain all signatures on status forms, review with staff, enter in HRIS and ERP systems, communicate new rate to HR Generalist.
  • Maintain Human Resource files and records to ensure consistent data accuracy.
  • Manage performance evaluation process (pull reports, distribute evaluations to department supervisors, record results in system, process any subsequent status forms).
  • Make any necessary time clock adjustments daily.
  • Pull weekly attendance reports prior to payroll processing.
  • Maintain Confidentiality.
  • Reset HRIS passwords.
  • Answer and assist team members with any general inquiries they may have. Consult with HR Generalist for more specific concerns/situations.
  • Conduct new hireorientation.
  • Coordinate training sessions for staff.
  • Ensure smooth communication with employees and timely resolution to their queries.
  • Maintain I9 records.

  • Serve on Safety Committee.
  • Assist with EHS (Environmental, Health and Safety) related tasks as necessary at the request of plant management.
  • Enter employee reimbursements into reimbursement spreadsheet.  Process reimbursement requests and/or send invoices to Accounting for payment (when necessary).
  • Collaborate with plant management and floor supervisors to conduct attendance and safety violation progressivedisciplinary meetings.
  • Conduct investigations (when necessary) for non-attendance and safety violation disciplinary meetings.  Collaborate with plant management and HR Generalist on findings/final decision.
  • Assist employees with benefit sign-up questions.
  • Process employment and income verification requests.
  • Process income withholding orders.
 

JOB QUALIFICATIONS:

  • Basic understanding of HR functions and best practices.
  • Knowledge of basic labor laws and employee equity regulations.
  • Effective HR administration and people management skills.
  • This position requires a person who must be able to work under stress and deal with the public effectively in a professional manner.
  • 2-3 years of relevant experience in an office environment.
  • Extensive knowledge of Microsoft Office software
  • Results driven, persistent, able to self-direct and work independently showing initiative, while seeking guidance when appropriate.
  • Ability to work with a team.
  • Comfortable multitasking and prioritizing tasks without guidance.
  • Time management expertise to ensure tasks are completed in a timely manner throughout the day.
  • Organizational skills to keep an accurate record of documentation.
  • Proficient technology usage skills.
  • Honest and ethical team player.
  • Sense of urgency with the ability to multitask under pressure.
  • Excellent communication skills, both written and verbal.
  • Strong attendance history of punctuality.
  • High School diploma or General Education Degree (GED) required.
  • Ability to pay close attention to detail and be flexible in a fast paced and growing organization.
