HR Assistant / Accounting Assistant
Location: Oceanside, CA
Pay: DOE
Schedule: Monday-Friday | Full-Time
Position Summary
We are seeking a detail-oriented and dependable HR Assistant / Accounting Assistant to support daily human resources, payroll, and accounting functions in a fast-paced industrial environment. This position requires excellent organizational skills, accuracy, confidentiality, and the ability to manage multiple priorities while providing outstanding support to employees and management.
Essential Responsibilities
Human Resources
- Assist with onboarding new employees, including new hire paperwork and orientation.
- Maintain accurate employee personnel files and HR records.
- Track employee attendance, timekeeping, and PTO requests.
- Assist with benefits enrollment and employee documentation.
- Support recruiting efforts by scheduling interviews and communicating with candidates.
- Ensure compliance with company policies and employment regulations.
- Respond to employee questions regarding HR policies and procedures.
- Maintain confidentiality of sensitive employee information.
Accounting
- Process accounts payable and accounts receivable transactions.
- Assist with payroll preparation and timecard verification.
- Prepare invoices, reconcile statements, and process vendor payments.
- Perform bank reconciliations and maintain financial records.
- Enter accounting data accurately into accounting software.
- Assist with month-end reporting and administrative accounting tasks.
- Maintain organized financial documentation and filing systems.
Administrative Support
- Answer phones and greet visitors professionally.
- Maintain office supplies and assist with general office operations.
- Prepare reports, spreadsheets, and correspondence.
- Coordinate with internal departments to ensure efficient workflow.
- Perform other administrative duties as assigned.
Qualifications
- Minimum 2 years of HR, payroll, accounting, or administrative experience.
- Experience with Microsoft Office Suite, especially Excel.
- Knowledge of payroll processing and basic accounting principles.
- Experience with accounting software (QuickBooks or similar ERP systems preferred).
- Strong organizational, communication, and multitasking skills.
- High level of accuracy and attention to detail.
- Ability to maintain strict confidentiality.
- Bilingual English/Spanish is a plus.
Preferred Qualifications
- Experience supporting HR functions in a manufacturing or industrial environment.
- Familiarity with labor law compliance and employee recordkeeping.
- Experience processing payroll and maintaining financial reports.
Physical Requirements
- Ability to sit, stand, and use a computer for extended periods.
- Occasionally lift up to 25 lbs.
- Ability to work in a fast-paced office environment.
