    Job Summary

    The HR Administrator provides day-to-day administrative support to the Human Resources team, with

    a primary focus on new hire onboarding, background check and DMV processing, I-9 compliance,

    benefits enrollment support, and routine HR reporting.

    This is an entry-level role, well suited to someone who is detail-oriented, organized, and eager to build a foundation in Human Resources. The HR Administrator works closely with the HR Manager and other HR team members and reports directly

    to the HR Manager.

    Key Responsibilities

    • Coordinate the new hire onboarding process, including preparing offer paperwork, scheduling orientation,

    setting up personnel files, and ensuring a smooth first-day experience for new employees.

    • Initiate, track, and follow up on pre-employment background checks and motor vehicle record (DMV) checks;

    flag any results requiring HR Manager review.

    • Complete Form I-9 verification for new hires and maintain I-9 documentation in compliance with federal

    requirements.

    • Conduct periodic internal I-9 audits to identify and correct documentation errors or gaps, and support

    corrective action as needed.

    • Assist with monthly benefits open enrollment activities, including distributing enrollment materials, answering

    routine employee questions, and processing enrollment forms.

    • Scan, organize, and file employee documents and personnel records, maintaining accurate and confidential

    electronic and/or physical employee files.

    • Prepare the monthly headcount report and other routine HR metrics reporting as requested.
    • Help track and maintain records of employee Paid Time Off (PTO) requests, including verifying balances

    and flagging discrepancies for the HR Manager.

    • Respond to routine employee inquiries regarding HR policies, procedures, and paperwork, escalating more

    complex questions as appropriate.

    • Support other HR functions such as employment verifications, HRIS data entry, and file audits.
    • Maintain strict confidentiality of employee records and sensitive HR information at all times.
    • Perform other miscellaneous HR duties and administrative tasks as assigned.

    Qualifications

    • High school diploma or equivalent required; Associate's degree in Human Resources, Business

    Administration, or related field preferred.

    • 0-2 years of administrative or HR-related experience; internship or coursework in HR is a plus.
    • Strong attention to detail and accuracy, particularly with compliance-related documentation (I-9s,

    background checks).

    • Ability to handle confidential and sensitive information with discretion and professionalism.
    • Solid organizational and time-management skills, with the ability to manage multiple recurring tasks and

    deadlines.

    • Proficiency with Microsoft Office (Word, Excel, Outlook); familiarity with HRIS or applicant tracking systems

    is a plus.

    • Clear written and verbal communication skills.
    • Comfortable working both independently and as part of a team.

    Working Conditions

    • Standard office environment; occasional need to lift or move boxes of files (up to 15-20 lbs).
    • Full-time schedule, Monday through Friday, standard business hours.
