Location: Richmond, CA
Schedule: Monday-Friday, 8:30 AM - 5:00 PM (Onsite 5 Days per Week)

Position Overview
We are seeking a detail-oriented and highly organized HR Administrator to support a growing Human Resources team in a fast-paced and evolving environment. This role will play a critical part in maintaining employee records, supporting HR operations, and leading a large-scale employee file digitization initiative.
The ideal candidate will have strong administrative experience, exceptional attention to detail, and the ability to manage confidential information with accuracy and discretion. This position is well-suited for someone who enjoys project-based work, thrives in a collaborative team environment, and is comfortable adapting to changing priorities.
Key Responsibilities
Lead the organization's employee records digitization project, ensuring personnel files are accurately scanned, indexed, and maintained.
Create, organize, and manage electronic employee files within SharePoint and other document management systems.
Audit employee records to ensure documentation is complete, accurate, and compliant with internal policies.
Maintain confidential employee information and ensure proper handling of sensitive HR documents.
Support the HR team with filing, document management, data entry, and administrative projects.
Assist with onboarding and offboarding paperwork and employee file maintenance.
Prepare employment-related documentation, forms, and reports as requested.
Coordinate the collection, organization, and storage of HR records and supporting documentation.
Assist with HRIS data updates and employee record maintenance.
Respond to routine HR inquiries and provide administrative support to the HR team.
Support process improvement efforts by identifying opportunities to streamline filing, recordkeeping, and administrative procedures.
Partner closely with HR leadership to ensure employee records are organized, accessible, and compliant.
Primary Project Focus
The primary objective of this role is to digitize all employee and HR records and establish a well-organized electronic filing system in SharePoint. This individual will be responsible for transforming paper files into a structured digital environment while ensuring data accuracy and confidentiality throughout the process.
Qualifications
2+ years of administrative, HR administrative, records management, or office support experience.
Experience handling confidential employee information and sensitive documentation.
Strong organizational skills with exceptional attention to detail.
Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and SharePoint.
Ability to manage large volumes of records and maintain accuracy in repetitive tasks.
Strong data entry and document management skills.
Excellent written and verbal communication skills.
Ability to prioritize tasks and meet deadlines in a changing environment.
Preferred Qualifications
Prior Human Resources administrative experience.
Experience with employee file audits, records management, or document digitization projects.
Familiarity with HRIS systems and electronic document management platforms.
Experience working in a fast-paced or rapidly changing organization.
Pay Details: $28.00 to $32.00 per hour
