    Trak group is partnering with a growing client seeking an HR Administrator to provide administrative support across HR operations, onboarding, employee records, recruiting, compliance, and employee engagement. This position will serve as a first point of contact for routine employee questions while partnering with HR Generalists, HR leadership, and Talent Acquisition to ensure a positive and organized employee experience.

    The ideal candidate is highly organized, detail-oriented, and comfortable handling confidential information while managing multiple priorities in a fast-paced environment.
    Responsibilities

    • Serve as a first point of contact for routine employee questions and HR-related inquiries.

    • Provide administrative support to HR Generalists and HR leadership.

    • Assist with employee communications, announcements, and HR correspondence.

    • Coordinate meetings, training sessions, and employee communication activities.

    • Organize and support employee engagement and recognition programs.

    • Enter, update, and maintain accurate employee information within HR systems.

    • Conduct periodic audits of employee records to ensure accuracy and completeness.

    • Support HR compliance audits, recordkeeping, and documentation requirements.

    • Maintain organized and confidential personnel files and employee records.

    • Prepare and process new hire paperwork and onboarding documentation.

    • Coordinate new hire orientation materials, schedules, and onboarding logistics.

    • Ensure required employment documentation is completed accurately and on time.

    • Process employment verification requests and routine employee correspondence.

    • Coordinate interviews between candidates and hiring managers.

    • Manage candidate communications throughout the recruiting process.

    • Partner with Talent Acquisition and HR teams on hiring events and recruiting initiatives.

    • Prepare offer letters and pre-employment documentation.

    • Track candidate pre-employment requirements, recruiting metrics, and hiring progress.

    • Coordinate new hire start dates and ensure a smooth transition into onboarding.

    • Identify opportunities to improve HR administrative processes and efficiency.
    Must-Haves

    • Associate degree in Human Resources, Business Administration, or related field OR 4+ years of equivalent relevant experience.

    • Experience providing administrative support in a professional environment.

    • Strong organizational skills and exceptional attention to detail.

    • Ability to manage multiple priorities and deadlines in a fast-paced environment.

    • Proficiency with Microsoft Excel, Word, and Outlook.

    • Strong written and verbal communication skills.

    • Excellent interpersonal and customer service abilities.

    • Ability to handle confidential employee and business information with discretion.

    • Strong follow-through and ability to maintain accurate records and documentation.

    • Collaborative approach with the ability to support employees, candidates, hiring managers, and HR team members.
    Preferred

    • Bachelor’s degree in Human Resources, Business Administration, or a related field.

    • Previous HR administrative or HR Coordinator experience.

    • Experience with HRIS or employee recordkeeping systems.

    • Recruiting and interview coordination experience.

    • New hire onboarding and orientation experience.

    • Exposure to HR compliance and employee record audits.

    • Continuous improvement mindset with an interest in improving HR processes.
