Job Summary

The HR Administrative Assistant provides administrative support within a Human Resources and Labor Relations environment. This role is responsible for maintaining confidential employee records, organizing documentation, responding to inquiries, and supporting daily administrative activities. The successful candidate is organized, detail-oriented, professional, and able to manage multiple priorities while handling sensitive employee information with discretion.

Job Responsibilities

  • Maintain and organize digital and physical employee files and records.
  • Handle inquiries and provide general administrative support to HR and Labor Relations staff.
  • Scan, organize, and maintain confidential employee documentation.
  • Conduct file checks to ensure records are complete, accurate, and properly maintained.
  • Handle sensitive and strictly confidential employee information in accordance with established procedures.
  • Assist with email correspondence, scheduling, and calendar management.
  • Provide general administrative support to HR and Labor Relations teams.
  • Perform additional administrative duties and special projects as assigned.

Job Requirements

  • Previous Human Resources or HR administrative experience.
  • Experience handling confidential and sensitive information.
  • Proficiency with Microsoft Office.
  • Experience with Google Workspace.
  • Experience using email, calendars, scheduling tools, and Zoom.
  • Strong written and verbal communication skills.
  • Strong organizational and interpersonal skills.
  • Ability to multitask and manage competing priorities.
  • Strong attention to detail and accuracy.

Preferred Experience

  • Experience working with Human Resources Information Systems (HRIS).
  • Previous experience supporting a Labor Relations or employee relations function.
