Summary:
The HR Administrative Assistant / Receptionist serves as the first point of contact for employees, applicants, visitors, vendors, and customers while providing administrative and clerical support to the Human Resources department. This entry-level position will assist with recruiting activities, new hire coordination, employee records, data entry, HR documentation, and day-to-day administrative functions.
The HR Administrative Assistant / Receptionist reports directly to the HR Manager and supports the HR team in maintaining an organized, responsive, and professional HR function. The ideal candidate is organized, professional, detail-oriented, dependable, and comfortable working in a fast-paced manufacturing environment.
Responsibilities:
Front Office & Reception
- Greet and assist employees, applicants, visitors, vendors, and customers in a professional and courteous manner.
- Follow company security, visitor, ITAR/EAR, and access-control procedures.
- Answer, screen, and route incoming telephone calls through the company operator system.
- Receive and direct visitors to the appropriate department or employee.
- Sort and distribute daily mail and deliveries.
- Maintain a professional and organized reception area.
- Assist with visitor badges and other front-office administrative tasks.
Human Resources Administrative Support
- Provide day-to-day clerical and administrative support to HR department.
- Assist with recruiting activities, including scheduling interviews, communicating with candidates, preparing interview materials, and coordinating candidate visits.
- Assist with job postings and maintaining recruiting records and applicant information.
- Assist with new-hire paperwork, onboarding preparation, and employee file documentation.
- Enter and maintain employee information in HR systems and spreadsheets with a high level of accuracy.
- Assist with scanning, filing, organizing, and maintaining confidential HR records.
- Prepare routine HR correspondence, reports, forms, spreadsheets, and other documentation.
- Assist HR team members with employee communications and administrative projects.
- Maintain confidentiality of employee and applicant information.
- Assist with tracking HR-related documents, forms, certifications, and other required records.
- Provide administrative support for employee events, orientations, and training activities.
- Perform data entry and other routine clerical duties as assigned by the HR Manager.
Meetings & General Administrative Support
- Assist with onsite meetings by coordinating meeting rooms, meals, supplies, materials, and room setup.
- Prepare, copy, and distribute meeting materials as needed.
- Assist with HR projects and special assignments.
- Perform other duties as assigned by the HR Manager.
Qualifications:
- Must be able to comply with ITAR and EAR residency requirements
- Demonstrated proficiency in Microsoft Word, Power Point, Excel, Microsoft Outlook and the Internet
- Must be well organized and capable of taking initiative and prioritizing and structuring tasks and information
- Must exhibit mature and independent judgment and flexibility and be highly responsive to emergent needs generated by day-to-day activities of the group
- Must have excellent verbal, written and communication skills
- Fluent in English, Spanish is a plus
Education/Experience:
- High school diploma or equivalent required.
- 1–2 years of administrative, receptionist, customer service, or office experience preferred; HR or recruiting experience is a plus.
- Bilingual: Fluent in English/Spanish
