Job Summary/Basic Function
Under general supervision, provides moderately complex administrative support activities to Housing Facilities Director and staff. Monitors Housing Facilities Preventative Maintenance Program, Housing Facilities Key management, coordinates Sodexo billing, and assists with the coordination of Housing Facilities work order system.

Job Duties
Essential Duties and Responsibilities
Works closely with Director of Housing Facilities Operations on developing and implementing Preventative Maintenance work order system. Works with Director to develop department processes and procedures. Collaborates with Director of Dining Services on services or new requests for services and bills accordingly.
Assists the Director of Housing Facilities Operations with the coordination and implementation of Housing Facilities Work Order System, Preventative Maintenance Program, Key Management, and monitors and coordinates the accounts payable/billing for Sodexo, Ricoh, Georges, and Generations.
Essential Duties and Responsibilities
Organizes and maintains hard copy and electronic filing systems. All requisitions are entered during the year including over 100 Standing PO's. Hard copies and electronic files are created and maintained for all the residential halls as well as the dining areas. Maintains hard copies and electronic files for all Housing Facilities keys for all offices and building complexes.
Essential Duties and Responsibilities
Maintains Director of Housing Facilities calendar and communicates information to all Housing staff. Schedules meetings and appointments for the Director of Housing. Assists Director with problem solving on day to day operational issues. Assists with all Kronos approvals and sign offs on time cards. Prepares and proofreads correspondence, reports and other documents as requested. Organizes and conducts departmental events, as directed, by securing space, equipment, food, preparing invitations, announcements, agendas, brochures, and packets. Creates and maintains security of equipment, files, and records.

Assists with employment processes. Organize and maintain paper and electronic filing system.
Assists the Director of Facilities with maintaining financial cost of departmental accounts. Orders and maintains an inventory of office supplies and materials needed for our Housing Facilities staff. Assists with approval of invoices, and keeps records of all expenses helping maintain finances within our budget.
