Job Summary

The Housing Desk Assistant at Albany State University provides an opportunity for students to gain hands-on experience in an office/secretarial setting. Interns will support the daily operations of the front desk of a residence hall and/or the central office, assist with event coordination/setup, and develop and enhance professional administrative and/or managerial skills in a dynamic collegiate environment.

Responsibilities

Office Management Support:

  • Assist the paraprofessional and professional staff in ensuring that the front desk of the residence hall is safe and secure
  • Manage desk supplies ensuring they are stocked and organized
  • Ensure desk equipment is properly aligned and setup for clerical work in the residence hall and/or Central Office

Event Coordination:

  • Support event planning and logistics for Housing Co-Curricular programs including: hospitality/serving, setup/breakdown
  • Assist in managing student volunteers and coordinating on-site operations of programs during the event

Communication and Correspondence:

  • Greet all stakeholders with a friendly tone and willingly assist to best of ability
  • Draft internal and external communications, including event announcements, and email correspondence pertaining to Housing and Residence Life
  • Provide timely responses to inquiries from staff, students, internal and external stakeholders

Data Management and Reporting:

  • Assist in maintaining records or department activities/programs program outcomes
  • Prepare reports and presentations for meetings as requested by central office and/or hall staff

Customer Service:

  • Serve as a point of contact for visitor and provide accurate information about events and department activities ex: portal opening, housing assignments, etc.
  • Greet and direct visitors to appropriate staff members
  • Maintain a level of confidentiality as necessary.

Required Qualifications

  • Must be a current Albany State student enrolled in six or more undergraduate credit hours or three or more graduate credit hours.
