Title: House Manager & Family Assistant (with flexible meal prep support)

Location: Miami Shores, FL 33138

Employment Type: Part-time (15-20 hours/week, 15 guaranteed)

Schedule: Tuesday-Thursday, 9AM - 2PM, with some flexibility

Proposed Start Date: By August 2026

Compensation: $40-50 per hour, based on experience

Requirements:

  • Comfort around a small household pet (leopard gecko) is preferred but not required.

About Our Family

We're a busy family of four with two working parents & two high school aged teenagers. One parent works full-time from home, and the other commutes to an office four days per week and occasionally travels. With teens, sports schedules, work and a full home, we're ready to move from “keeping things afloat” to creating real systems that make the house feel calm, organized, and easy to run.

With a lot of moving pieces to manage, our household would greatly benefit from a dedicated House Manager who can help bring greater organization, consistency, and ease to daily life. We're looking for someone who can become a trusted partner in helping our home function efficiently and proactively.

If you enjoy creating structure and helping a home run smoothly behind the scenes, you'll thrive in this role. While there will certainly be opportunities for organizing spaces and implementing systems, this position is about much more than tidying up. We're looking for someone who can thoughtfully manage household operations, anticipate needs, and create processes that make daily life feel more manageable and efficient for everyone in the home.

At its core, this job is about bringing order to everyday chaos—setting up simple systems that stick, resetting spaces so they stay breathable, and taking ownership of the home's operations so we can stay focused on work and family time.

Who You Are / What We're Looking For

You're the person who owns the household's operations — the one who notices things, follows up without being asked, and keeps everything moving behind the scenes.

You have natural 'executive assistant energy': assertive, proactive, and comfortable being the point person in a home where people are in and out throughout the day. You don't wait to be told something needs attention — you flag it, handle it, or escalate it. You can hold a vendor accountable, build a pantry system from scratch, run a load of laundry, and reset a chaotic entryway all in the same morning.

You're also genuinely comfortable in a busy household—and you don't get rattled when things are moving fast. In fact, you thrive in that kind of energy. You're the steady presence who brings calm, structure, and follow-through, helping the whole home feel more grounded and in control.

Key Responsibilities

Household Organization & Maintenance

  • Create and maintain household organization systems, room-by-room
  • Ongoing “reset” support to keep the home calm and functional (especially shared spaces and drop-zones)
  • Light tidying between professional cleanings: dishes, wiping surfaces, quick resets, vacuuming high-traffic areas
  • Prep the home for weekly cleaners and help ensure the home is ready for/after service visits
  • Unpacking support after travel
  • Occasional guest prep
  • Track home needs through routine walkthroughs (weekly or monthly): note issues, compile punch lists, and coordinate with the family's trusted handyman for scheduling and follow-through
  • Coordinate/hand off items for donation pickup and resale/consignment pickups (sorting/prep + coordination)

Inventory & Errands

  • Maintain running household supply and grocery lists
  • Restock household essentials (pantry, fridge, paper goods, cleaning supplies) and keep storage areas organized
  • Put away and organize household deliveries/subscriptions (e.g., Instacart/Amazon/Costco/Target)
  • Handle errands such as returns, UPS/drop-offs, and occasional dry cleaning support
  • Break down boxes and manage packaging overflow

Meal Planning & Prep

  • Meal planning support and flexible meal prep/cooking based on the week's schedule
  • Generally 2 nights/week of meal prep or dinner support (prep-heavy; occasional full dinner support as needed)
  • Kitchen reset/clean-up after meal prep
  • Food allergy awareness: tree nut allergy in the household

Laundry & Linens

  • Wash, fold, and organize family laundry
  • Ironing/steaming, school uniform & special garment care (preferred, not required)
  • Coordinate linen rotation expectations with the cleaning team (cleaners may handle some linen tasks)
  • Maintain an orderly, well-stocked laundry area

Family Support (Light)

  • Occasional organizational support related to teen schedules and sports

Deep Cleaning & Special Projects

  • Organization-forward special projects (including organizing and creating systems for each room)
  • Refresh and maintain key “drop zones” (entry/garage/mudroom-style areas)
  • Monthly air filter change reminders/coordination (two HVAC units); coordinate swap-outs as needed
  • Monthly humidifier/air purifier maintenance

Vendor & Property Oversight

  • Be the “point person” in the home for vendors and service appointments (cleaners, contractors, landscapers, car detailer, deliveries)
  • Research/coordinate repairs and quotes as needed
  • Light garden support is a nice-to-have (outdoor vendors handle most exterior maintenance)

Administrative & Personal Assistant Support

  • Light household calendar and scheduling support (shared visibility, reminders, follow-ups)
  • Coordinate administratively with another house manager for an out-of-state property as needed (limited, occasional)

Pet Care (Preferred, Not Required)

  • Leopard gecko care support is a plus, not a dealbreaker:
    • Help ensure supplies are maintained
    • Monthly tank cleaning support (or coordinate as needed)
