    The Hospitality Assistant helps set the tone for the guest experience, offering a warm and welcoming first point of connection at the Fetzer Institute and Seasons Retreat Center. You’ll often be one of the first people our guests and visitors encounter, welcoming them, helping them find their way, answering questions, solving unexpected challenges, and making sure the little details are taken care of.

    No two days will look exactly the same. You might greet arriving guests, prepare keys and nametags, coordinate with our security or housekeeping partners, check that a meeting space is ready, respond to a guest request, or jump in to help with an unexpected need. Behind the scenes, you’ll also provide administrative and operational support that keeps Hospitality running smoothly.

    We’re looking for someone who genuinely enjoys helping people, pays attention to the details, stays calm when plans change, and is willing to jump in wherever needed. At Fetzer, hospitality is more than good service, it is an expression of care. You’ll help create an environment where every person who arrives feels welcomed, supported, and thoughtfully cared for.

    This is a full-time, onsite position working 40 hours per week, typically Monday through Friday, with occasional schedule flexibility based on guest and convening needs. This position pays $23.70 per hour and is eligible for benefits including medical, dental, vision, prescription, 401(k), paid time off, and an extensive wellness package.

    Key Responsibilities
    • Provide consistent front-desk coverage, serving as the primary point of contact for guests, visitors, callers, vendors, and deliveries.
    • Support the guest experience from arrival through departure, including check-in, facility orientation, room keys, nametags, transportation coordination, and other guest needs.
    • Anticipate and respond to guest needs, using sound judgment to troubleshoot issues and coordinate solutions with appropriate staff.
    • Support convening and event readiness, including room and set-up checks, directional signage, guest materials, supplies, and other logistical needs.
    • Coordinate with security, housekeeping, transportation, and other operational partners to ensure timely communication and smooth guest and facility operations.
    • Monitor facility access and security needs, including entrances, security cameras, alarm systems, and communication with contracted security personnel.
    • Provide administrative support to Hospitality and Operations, including mail distribution, supply ordering, invoice coding, maintaining on-call information, and other administrative needs.
    • Provide flexible operational support as needs arise, including assisting with transportation, special guest requests, supply or meal pickups, and other time-sensitive hospitality needs.
    • Complete other duties as assigned.

    Qualifications
    This position requires 1-2 years of experience in hospitality, customer service, reception, administrative support, or a related setting.
    • An appreciation for hospitality as an expression of care and an openness to Fetzer’s approach to sacred-centered hospitality.
    • Ability to work independently, prioritize and shift quickly.
    • Exceptional interpersonal and communication skills.
    • Strong organizational abilities with attention to detail and flexibility in dynamic environments.
    • A heart for service and a calm, grounded presence in planning and high-activity settings.
    • A team-oriented work style that reflects inclusiveness, collaboration, and flexibility.
    • Proficiency in all Microsoft Office applications.
    • An interest in, and openness to, the Institute’s mission.
    • Valid driver’s license with a clean driving record.

    Working Conditions: This position requires the incumbent to sit for prolonged periods of time in a temperature-controlled environment on the ground floor of the building, with the need to occasionally lift up to 50 pounds as well as move luggage carts up to 300 pounds. The ability to operate general office equipment such as a computer, smartphone, telephone, copy and fax machines, and a postage scale/meter is required. May occasionally drive Institute vehicles.
