ROLE IMPACT

The Hospitality and Events Coordinator creates a welcoming, professional experience for visitors, staff, vendors, and community partners while supporting meetings and events at the Hickman Center. This role coordinates event logistics, provides front desk coverage as needed, and supports day-to-day administrative operations.


Success in this role requires direct event coordination and hospitality experience, strong guest service skills, bilingual English/Spanish communication, and the ability to manage multiple events, vendors, and priorities while creating a polished and welcoming experience.


KEY RESPONSIBILITIES

  • Coordinate the full event lifecycle for meetings, trainings, conferences, Board meetings, and special events, including reservations, pricing, quotes, scheduling, room layouts, setup, catering, technology, food and beverage service, and post-event resets.
  • Serve as a primary point of contact for event guests, vendors, caterers, community partners, and internal teams, ensuring event details are communicated and executed accurately.
  • Provide hands-on, on-site event support, including preparing event spaces, coordinating vendors, troubleshooting last-minute needs, and ensuring a professional guest experience.
  • Manage Outlook calendars, meeting schedules, room reservations, mail and deliveries, office supplies, security-related records, employee contact information, and routine filing, scanning, copying, and data entry.
  • Maintain confidentiality of client, personnel, and training information; assist Spanish-speaking visitors and callers; support special projects, occasional catering or supply pickups, and other assigned workplace needs.

 

MINIMUM QUALIFICATIONS

  • 2+ years of direct event coordination, hospitality, conference services, catering coordination, venue operations, or similar hands-on event experience required.
  • Demonstrated experience coordinating event logistics such as room setup, catering, vendors, reservations, event schedules, guest needs, and day-of event support.
  • Bilingual in English and Spanish with the ability to professionally assist Spanish-speaking visitors, guests, and callers.
  • Strong organization and attention to detail with the ability to coordinate multiple events and changing priorities.
  • Must be age 21 or older, hold a valid Texas Driver’s License, be able to drive a company vehicle, and meet required criminal-history eligibility standards, including no felony convictions or criminal offenses involving a child.

PREFERRED SKILLS

  • Experience coordinating meetings, events, catering, vendors, or facility logistics
  • Ability to communicate professionally with visitors, staff, vendors, and Board members from diverse cultural and socioeconomic backgrounds
  • Strong discretion, confidentiality, time management, and problem-solving skills
  • Frequent computer use and typing required.
  • Ability to sit for extended periods and lift up to 10 pounds.
  • Physical duties may include standing, walking, bending, kneeling, carrying supplies, and setting up tables and chairs.
  • May occasionally drive to pick up catering or event supplies.
