Position:       Horticultural Assistant/Enhancement Coordinator

Position Overview
We are seeking a highly organized, detail-oriented professional to support our Horticulturalist in delivering exceptional service to our clients. This role is a blend of administrative coordination, project preparation, client communication, and operational support. The ideal candidate enjoys working behind the scenes to keep pending and active projects organized, communicates effectively with multiple team members, and thrives in a fast-paced environment where priorities can shift throughout the day.

Key Responsibilities
 
Service Scheduling & Coordination
·      Work in partnership with the Horticulturalist to schedule WJ personnel and/or subcontracted technicians for outsourced tree, shrub, and other treatment services at a client’s property.
·      Communicate with clients about the day and window of time the technician will be arriving to do the treatment and notify the client of any  property or time restrictions. 
 
Horticulturalist Support
·      Work closely with the Horticulturalist on a daily basis to support client visits and property evaluations.
·      Prepare enhancement estimates based on field notes and recommendations.
·      Organize and prepare job walk summaries and meeting notes.
·      Assist with administrative tasks associated with enhancement recommendations and property improvement plans.
·      Help prioritize and track enhancement opportunities from proposal through completion.
 
Project Coordination
·      Coordinate awarded enhancement projects with field crews.
·      With the help of the Horticulturalist, create a list of tools and supplies the enhancement crew would need on site to complete the project.
·      Order plant material, irrigation supplies, and other project materials. 
·      Ensure all materials, equipment, and special instructions are prepared before scheduled installation dates.
·      Communicate project details and expectations with production staff.
·      Monitor project progress and assist in resolving logistical issues.
 
Client Communication
·      Assist with client correspondence when requested by the Horticulturalist.
·      Send proposal follow-ups, project updates, scheduling communications, and other client notifications.
·      Maintain a professional, responsive, and service-oriented experience for clients.
 
Software & Administrative Responsibilities
·      Become proficient in Aspire Landscape Management Software.
·      Enter estimates, job information, notes, and project documentation accurately.
·      Maintain organized digital records, such as irrigation legends, architectural plans and other planting notes from clients
·      Basic knowledge of Google drive, images and calendar.
 
Qualifications
·      Exceptional organizational skills with strong attention to detail.
·      Comfortable learning new computer software and technology.
·      Strong written and verbal communication skills.
·      Ability to manage multiple projects simultaneously.
·      Self-motivated with excellent follow-through.
·      Professional and positive attitude.
·      Ability to work collaboratively with office staff and field teams.
 
Preferred Experience and Requirements
·      Administrative or project coordination experience.
·      Experience in landscaping, horticulture, construction, or another service industry is preferred but not required.
·      Experience using CRM, ERP, or project management software is a plus.
·      Customer service experience is highly desirable.
·      Computer proficiency - Mac/Windows, Microsoft Word, Excel, PowerPoint, Outlook, and the ability to master other software

Compensation:       $25.00 per hour, or commensurate with experience – paid weekly

This role includes a probationary period with a review after 3 months, followed by regular ongoing performance reviews and an annual review.
