Home Care Scheduling Experience Required!

We are seeking an experienced Home Care Staffing Coordinator / Caregiver Scheduler to join an established home care organization on Long Island!

This position is ideal for someone who has worked in a busy home care agency, coordinating schedules for Home Health Aides (HHAs), Personal Care Aides (PCAs), and other caregivers providing services in clients' homes.

We are specifically looking for someone who understands the unique challenges of home care scheduling, including caregiver callouts, last-minute coverage, client-caregiver matching, and maintaining consistent care for clients and their families.

This role also involves caregiver recruitment, making it a great fit for someone who enjoys both staffing coordination and building a strong caregiver team.

Responsibilities

• Coordinate high-volume caregiver schedules for clients receiving care in their homes.

• Schedule HHAs, PCAs, and other home care professionals based on client needs and caregiver availability.

• Manage callouts, emergency coverage, schedule changes, and open shifts.

• Match caregivers with clients based on qualifications, location, availability, and compatibility.

• Recruit, screen, interview, and assist with onboarding new caregivers.

• Maintain a reliable pool of caregivers to meet ongoing and changing client needs.

• Communicate with caregivers, clients, families, and agency leadership.

• Monitor staffing needs and help minimize gaps in client coverage.

• Maintain accurate scheduling and caregiver records using home care software.

Qualifications

• Minimum 5 years of high-volume caregiver scheduling experience within a home care agency required.

• Experience scheduling HHAs, PCAs, or similar in-home caregivers.

• Background in private-pay and/or insurance-funded home care preferred.

• Caregiver recruitment and onboarding experience strongly preferred.

• Experience with home care scheduling software such as HHAeXchange, WellSky, or similar platforms.

• Strong communication, organization, and multitasking skills.

• Ability to handle urgent staffing needs and work effectively in a fast-paced environment.
