Job Summary
Always Best Care is seeking a dedicated and organized Care Coordinator to manage our daily care operations across the Round Rock office communities. Working from our local office Monday through Friday, 9:00 AM – 5:00 PM, you will serve as the central hub connecting our clients, families, and caregivers.
In this role, you will utilize Well Sky / Access Care to ensure seamless scheduling, maintain strong caregiver relationships, manage incoming leads, and oversee strict compliance protocols. Your efforts will directly impact the quality of life for seniors in our community and help grow our local presence through proactive outreach.
Job Responsibilities
️ Scheduling & Caregiver Coordination
- Coordinate client schedules utilizing Well Sky / Access Care to match caregivers with seniors based on compatibility, availability, and specific care needs.
- Follow up with caregivers consistently to confirm upcoming shifts, manage daily call-outs, and resolve scheduling conflicts quickly to minimize open shifts.
- Monitor training compliance by tracking caregiver certifications and ensuring they complete required professional development and training modules on time.
Lead Management & Outreach
- Conduct proactive phone outreach to warm inbound leads, introducing our home care services, qualifying their needs, and scheduling in-home care consultations.
- Build an immediate rapport with local families in the Round Rock, Georgetown, and Hutto areas, guiding them empathetically through their care inquiries.
Documentation & Compliance
- Maintain accurate documentation of all client and caregiver interactions, schedule changes, and profile updates directly in Well Sky / Access Care.
- Ensure strict compliance with Texas Health and Human Services (HHS) regulations, company policies, and healthcare standards for all files.
- Assist with internal audits to verify that caregiver credentials, background checks, and client care plans are 100% up to date.
Qualifications
- Software Experience: Prior experience using Well Sky or Access Care scheduling software is highly preferred.
- Experience: 1+ years of experience in home care scheduling, medical coordination, or healthcare customer service.
- Local Knowledge: Familiarity with the geography and communities of Round Rock, Georgetown, and Leander is a major plus.
- Communication: Exceptional communication skills with a confident, professional, and empathetic phone presence.
- Organization: Excellent multitasking ability and sharp attention to detail in a fast-paced environment.
- Availability: Ability to work reliably on-site during standard business hours (Mon-Fri, 9am-5pm).
