Are you an experienced healthcare scheduling leader with a passion for patient service, operational excellence, and team development? Accentuate Staffing is seeking a dynamic Healthcare Scheduling Supervisor to oversee scheduling operations across multiple healthcare sites. This is an in-office leadership position based in the Raleigh area.
As the Healthcare Scheduling Supervisor, you will oversee scheduling operations across multiple locations, ensuring patients receive timely, accurate, and exceptional service from the initial scheduling call through appointment completion.
You will lead a team of schedulers, monitor daily operations and performance metrics, identify opportunities for improvement, and ensure consistent scheduling processes across all locations. This role requires a hands-on leader who can balance the needs of patients, providers, staff, and multiple sites while maintaining a high level of operational efficiency.
You will also partner closely with management and site leaders on staffing, scheduling workflows, process improvements, training, and other departmental initiatives to ensure a seamless patient experience across the organization.
Lead, coach, mentor, and develop a team of healthcare schedulers, fostering accountability, engagement, and a patient-first culture.
Provide guidance and support to senior or lead schedulers and help develop a strong leadership pipeline.
Oversee scheduling operations across multiple healthcare locations and ensure consistent processes and service standards.
Monitor daily scheduling activity, including call volumes, response times, productivity, appointment availability, and other key performance indicators.
Use data and operational metrics to identify trends, address performance issues, and implement process improvements.
Partner with site leaders and management to identify scheduling challenges and develop effective solutions.
Ensure schedulers follow established protocols related to patient information, insurance requirements, referrals, authorizations, and appointment scheduling.
Maintain strict compliance with HIPAA and organizational policies regarding patient confidentiality and protected health information.
Assist with hiring, interviewing, onboarding, training, and performance management of scheduling staff.
Identify opportunities to improve workflows, reduce scheduling errors, increase efficiency, and enhance the overall patient experience.
Support cross-functional projects and organizational initiatives as needed.
Serve as a resource for schedulers when handling escalated patient, provider, or scheduling issues.
Ensure appropriate staffing coverage across multiple sites and help address changing operational needs.
5+ years of healthcare experience, with at least 3 years in a supervisory or management role.
Previous experience leading healthcare scheduling, centralized scheduling, patient access, call center, registration, or similar patient-facing operations.
Experience managing teams across multiple healthcare locations or departments strongly preferred.
Strong understanding of healthcare scheduling processes and the patient access environment.
Experience with insurance verification, referrals, authorizations, appointment scheduling, and/or patient registration.
Proven ability to interview, hire, train, coach, and develop employees.
Strong performance management skills with the ability to provide direct, constructive feedback.
Demonstrated ability to analyze operational metrics and use data to drive improvements.
Excellent organizational and prioritization skills with the ability to manage multiple locations, competing priorities, and changing demands.
Strong communication and interpersonal skills with the ability to work effectively with patients, providers, clinical teams, and leadership.
High level of professionalism and discretion when handling confidential patient information.
Experience with EPIC or another healthcare EMR/EHR system preferred.
Bachelor's or Associate degree in Healthcare Administration, Business Administration, or a related field preferred.
