Position Overview:

The Healthcare Administrative Assistant provides administrative and operational support to the Skilled Nursing Visits department. This non-clinical role helps ensure patient documentation, physician orders, authorizations, billing support, compliance tracking, and clinician follow-up are completed accurately and on time. 

This position works closely with Directors of Nursing, Clinical Supervisors, clinicians, billing, scheduling, payroll, medical records, and other internal teams to keep department operations running efficiently. Clinical decisions remain the responsibility of licensed nursing leadership.  

Role Details: 

  • Location: Colorado (any office) 
  • Role Type: Full-Time, Hybrid  
  • Compensation: $25.00 - $29.00 per hour 

Primary Responsibilities: 

The Healthcare Administrative Assistant is responsible for coordinating and tracking the administrative functions that support the department, including: 

  • Track physician orders, signatures, Face-to-Face documentation, and other required paperwork.  
  • Assist with documentation needed for billing, authorizations, and medical records requests.  
  • Monitor outstanding clinician documentation and follow up to ensure timely completion.  
  • Coordinate with billing, scheduling, payroll, and clinical teams to resolve documentation issues.  
  • Maintain department tracking reports, worklists, and compliance deadlines.  
  • Support payroll-related administrative tasks and LPN stipend tracking.  
  • Order and monitor clinical supplies and assist with inventory management.  
  • Conduct non-clinical patient outreach and administrative follow-up as directed.  
  • Assist nursing leadership with reports, projects, onboarding, and operational initiatives.  
  • Escalate time-sensitive or clinical concerns to the appropriate nursing leader.  

Requirements

  • Minimum 2 years of administrative, healthcare coordination, medical office, scheduling, or healthcare operations experience  
  • Strong computer proficiency, including Microsoft Office (Excel, Outlook, Word)  
  • Experience supporting billing, authorizations, physician orders, or healthcare documentation 
  • High school diploma or GED required  
  • Ability to prioritize multiple tasks in a fast-paced environment  
  • Strong organizational skills with exceptional attention to detail  
  • Excellent verbal and written communication skills  
  • Ability to maintain confidentiality and professionalism  
  • Some familiarity with EMR/EHR systems 
  • Some familiarity working with Medicare documentation and compliance 

Preferred Qualifications: 

  • Home Health or Skilled Nursing or direct administrative healthcare experience  
  • Strong experience working with Medicare documentation and compliance  
  • Associate's or Bachelor's degree preferred
