OVERVIEW OF POSITION:
The Health Information Management Supervisor is responsible for overseeing the records and scanning teams of Health Information Management, managing the records retrieval, destruction, and dispensing processes from origination to completion while keeping patient records confidential, accurate, and in line with regulatory standards and ensuring competency of the team.
Must adhere to the organizational Policies, Procedures, Code of Ethics, and all licensing and accreditation standards of the position. Must represent the organization’s Mission in all actions and communications.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Demonstrate leadership skills that foster a culture of mentoring, coaching, motivating, and engaging staff.
Model and communicate key values in the community and to staff in a way that supports Cherry Health’s mission.
Ensure schedule and staffing hours are sufficient to ensure quality, efficient operation and productivity for priorities and assigned workload.
Supervise, train, and evaluate the competencies of staff.
Communicate organization initiatives and updates to staff.
Assist in the development and monitoring of department/program budget.
Assist patients, investigate inquiries and complaints, and keep accurate records.
Monitor utilization and performance of the Health Information Exchange (HIE) system around the status of outgoing records.
Investigate incoming inquiries and/or complaints initiated by patients and providers.
Maintain continuing quality improvement and assist in quality management of the teams
Maintain strict confidentiality to all medical records by ensuring no unauthorized persons have access to a patient’s electronic health record.
Uses, protects, and discloses patient protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards.
Understanding and participation in completion of work required

SKILLS / KNOWLEDGE / ABILITIES:
Must be a Registered Health Information Technician
Associates degree , Bachelors preferred
Ability to efficiently organize and prioritize large volumes of work in a fast-paced environment
Ability to work effectively and efficiently under policy driven deadlines
Understanding of medical, dental and behavioral health terminology, anatomy, physiology, surgery, diagnostic testing, radiology, pathology, pharmacology and various medical specialties.
Ability to use complex thinking skills and judgement to ensure compliance with laws, regulations, or standards
Proficient understanding of Health Insurance Portability and Accountability Act (HIPAA) and 42 CFR Part 2 and all other privacy and confidentiality standards.
Effective time management and process improvement skills
Ability to communicate effectively with staff, colleagues, the public and professionals both in verbal and written form.
Ability to follow oral and written instructions.
Ability to complete assigned tasks and complete documentation requirements.
Ability to establish and maintain effective working relationships.
Demonstrated computer skills and experience working with Microsoft Office and electronic health record (EHR).

EXPERIENCE:
3 years of experience in medical records including scanning software. Minimum of two years leadership experience with understanding process improvement. Must understand medical terminology and the release of information process and regulations in a health care setting or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job listed above.
