Guest Services &
Patient Coordinator to join our growing team. We are a premier, physician-led medical spa focused on providing exceptional patient care, advanced aesthetic treatments, and personalized wellness services in a welcoming, luxury environment.
The ideal candidate is outgoing, detail-oriented, proactive, and enjoys building relationships with clients. This position is much more than answering phones and scheduling appointments. We are looking for someone who takes ownership of the patient experience, enjoys educating clients about our services, and understands the importance of patient retention, follow-up, supporting practice growth, and driving sales. The ideal candidate has a natural sales mindset, is comfortable discussing services and products, and recognizes opportunities to turn patient inquiries into consultations, treatments, and long-term relationships.
Responsibilities
- Provide a warm, welcoming, and professional experience for every patient, both in person and through phone, email, and text.
- Manage appointment scheduling, confirmations, cancellations, waitlists, and rebooking.
- Follow up with prospective patients and existing clients to encourage consultations, treatments, and continued care.
- Educate patients about our services, memberships, skincare products, specials, and events.
- Support sales, patient retention, and revenue growth through consistent follow-up, rebooking, and patient engagement.
- Maintain accurate patient information, documentation, and membership records in Zenoti.
- Monitor incoming calls, emails, and patient inquiries to ensure timely follow-up.
- Support provider schedules and communicate patient needs and scheduling changes with the clinical team.
- Review approved treatment estimates, packages, membership options, and payment information.
- Assist with patient retention initiatives, marketing events, RSVP tracking, and event preparation.
- Maintain patient confidentiality and contribute to a positive, collaborative team environment.

- Comfortable discussing services, products, memberships, and treatment options with patients.
- Sales-minded with the confidence to engage patients, follow up on leads, recognize sales opportunities, and help convert inquiries into appointments.
- Strong follow-through and a proactive approach to responsibilities.
- Comfortable using computers, scheduling systems, email, and phone communication.
- Previous experience in a medical spa, medical office, aesthetics, hospitality, sales, or customer service is preferred.
