Job Summary
The Grant Accountant supports the fiscal integrity and financial administration of college grant and restricted-fund accounts. This position performs accounting, reconciliation, financial reporting, and compliance activities while providing guidance to campus departments and partners on appropriate expenditures and grant-related financial procedures. The role also supports the Grants Accounting Manager with journal entries, audits, reporting, and overall grant administration.
Key Responsibilities
Accounting & Financial Reporting
- Review transaction details and prepare proposed journal entry transfers for review and posting.
- Review Time and Effort reporting for restricted-fund employees, identify discrepancies, and recommend corrections to the General Ledger.
- Maintain accurate and timely processing of transactions, billings, collections, and financial reports for restricted accounts.
- Prepare financial reports for assigned federal, state, local, and private grants, contracts, and gifts for review and approval.
- Maintain accurate and complete financial records for restricted funds.
- Coordinate financial activities with employees responsible for administering restricted programs.
- Conduct monthly reconciliations for assigned grants and contracts.
- Maintain audit-ready grant files and provide documentation and support for audits, reviews, and financial inquiries.
Grant & Award Management
- Apply appropriate accounting procedures to support compliance with grant regulations and cash management requirements.
- Assist departments and campus partners with proper financial procedures for restricted-fund activities.
- Provide financial accounting and reporting support for federal, state, local, and private grants, contracts, and gifts.
- Assist with identifying and resolving accounting issues related to grant-funded activities.
Collaboration
- Serve as a financial resource and liaison to departments, program managers, and other internal and external partners supporting grant activities.
- Collaborate with the Grants Accounting Manager and program financial managers to ensure accurate reporting and compliance.
- Communicate accounting policies, procedures, and grant requirements to relevant stakeholders.
- Recommend process improvements that enhance efficiency, accuracy, service, and compliance.
Supervisory Responsibilities
- This position does not have direct supervisory responsibilities.
- May provide guidance, training, or direction to less experienced staff as needed.
Qualifications
Required Education & Experience
- Bachelor's degree in Accounting, Finance, Business, or a related field.
- 2–3 years of relevant accounting, grants, financial reporting, or related experience.
- Knowledge of accounting principles, financial reporting, and internal controls.
- Strong analytical, organizational, and problem-solving skills.
- Ability to interpret and apply established policies, procedures, and regulations.
- Strong written and verbal communication skills.
- Ability to work effectively with internal departments and external partners.
Preferred Education & Experience
- Master's degree in Accounting, Finance, Business, or a related field.
- 4–7 years of relevant experience.
- Relevant professional certifications or specialized training.
- Experience working with federal, state, local, or private grants and restricted funds.
- Experience with grant compliance, audits, reconciliations, and financial reporting.
