Position Summary

The Graduate Admissions Specialist is responsible for evaluating and processing Graduate School admission applications and coordinates with students, faculty, and departmental administrators. This position is governed by state and federal laws and agency/institution policy.

Job Duties and Responsibilities

The Graduate Admissions Specialist fulfills the following tasks:

  • Assists students and faculty with the application process;
  • Reviews and answers or prepares correspondence relating to admission to graduate programs;
  • Interprets university administrative directives, policies, and procedures to ensure consistent application;
  • Provides information, assistance, and clarification to interested parties concerning institutional programs, policies, and procedures;
  • Conducts evaluation of international credentials within the Graduate Schools capacity;
  • Assists with recruitment and outreach efforts
  • Assists with Graduate School commencement ceremonies and related graduation events as needed.

  • Knowledge of graduate admissions processes, enrollment management, and academic program requirements.
  • Knowledge of the organization and administration of higher education, including state, federal, and university rules and regulations.
  • Ability to evaluate domestic and international academic credentials and transcripts accurately and consistently.
  • Ability to interpret and apply institutional policies and procedures with sound, independent judgment.
  • Ability to manage a high volume of applications and communications with accuracy and attention to detail.
  • Proficiency with student information systems, CRM platforms, and office productivity applications.
  • Strong written and verbal communication skills, with the ability to correspond professionally with students, faculty, and staff.
  • Ability to work collaboratively across departments while managing individual responsibilities effectively.
  • Provides responsive and respectful service to a diverse population of applicants and stakeholders.

Required Education and/or Experience

The formal education equivalent of a high school diploma; bachelors degree, plus one year of specialized training in business management, business education, or a related field; plus three years of experience in specialized or a related field applicable to work performed.

Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management.

Preferred Education and/or Experience

  • Masters degree in a related field desirable.
  • Work experience in higher education.
  • Proficiency in spreadsheets and word processing.
  • Experience with Slate, Banner SIS, DegreeWorks, and/or Parchment.
