    Job Summary: The Global Operations Administrator II plays a critical role in supporting day-to-day operations, sales support, and customer service activities across U.S. and international markets. This position serves as a key liaison between customers and internal teams, ensuring accurate order processing, timely fulfillment, strong operational execution, and a consistently high-quality customer experience in a fast-paced, cross-functional environment.

    Main Duties & Key Responsibilities (include, but are not limited to):

    Serve as a first point of contact for customer inquiries via phone and email, delivering professional and responsive support

    Prepare quotations and process sales orders, credits, and RMAs (Return Material Authorizations) accurately and efficiently, ensuring all opportunities, cases, and transactions are properly maintained in Salesforce

    Confirm pricing, Incoterms, shipping methods, stock availability, and lead times

    Coordinate order fulfillment activities with Sales, Production, Logistics, and Technical teams to ensure on-time delivery

    Schedule shipments, monitor deliveries, and resolve exceptions with carriers and logistics partners

    Generate invoices and maintain accurate ERP records (Sage 300), ensuring alignment with Salesforce records and activities

    Prepare export, shipping, and customs documentation as required to support domestic and international orders

    Support compliance with ISO 9001, ISO 27001, and applicable health and safety requirements

    Follow standard processes and procedures while proactively identifying, suggesting, and implementing improvements

    SKILLS, QUALIFICATIONS AND PERSON SPECIFICATION

    Candidate Profile

    This customer-facing role requires a warm, professional communicator with proven experience delivering excellent service in a fast-paced environment. The successful candidate will demonstrate initiative, sound judgment, and a strong ability to work both independently and collaboratively across teams. Experience in manufacturing, distribution, or operational support within the human capital management industry is preferred. Candidates with transferable skills from electronics, technology, or related industries are also encouraged to apply.

    Education

    Bachelor's degree in Business Administration or a related field, or equivalent relevant work experience

    Communication

    Exceptional verbal and written communication skills

    Confident telephone and video conferencing manner with the ability to quickly build rapport with team members and customers

    Strong interpersonal skills and a team-focused attitude

    Ability to read and interpret documents (e.g., safety rules, operating and maintenance instructions, and procedure manuals)

    Ability to communicate effectively with customers and employees

    Follow up and attend scheduled calls with customers

    Respond promptly and professionally to customers, suppliers, contractors and team members

    Affinity for providing excellent customer service

    Strong written communication, typing, and attention to detail

    Organization

    Highly organized with excellent attention to detail

    Ability to solve practical problems, navigate competing priorities, and interpret written, verbal, and process-based instructions with limited supervision

    Capable of prioritizing assignments in a high-demand environment

    Knowledge, Skills and Other Abilities

    Proficient in Microsoft Office and other relevant business software applications

    Proficiency in ERP and CRM platforms. Sage 300 and/or Salesforce experience is a plus

    Intermediate to advanced Excel skills are strongly preferred; Power BI experience is an advantage

    Working Location / Hours / Travel

    This is a fully office-based role in Cooper City, Florida, with limited flexibility for remote work based on business needs

    Occasional work outside standard business hours may be required to support operational priorities

    No travel requirements are anticipated
