Objectives of this Role:
  • Greet incoming visitors/clients, follow division visitor sign in policy.
  • Contact division personnel by multiple communication methods to announce arrival of their visitor/client.
  • Assist staff with daily clerical routine tasks to include basic form processing requests, restocking vending machines, restocking office supplies, and maintain coffee equipment.
  • Assist with division events and client visits to include lunch ordering, meeting set-up/breakdown.
  • Communicate effectively in various methods (email, telephone, face-to-face), strong attention to detail, able to work independently and in a team environment.
  • Function as a contributing member of the team and provide excellent customer service while maintaining a strong sense of urgency.
Daily and Monthly Responsibilities:
  • Utilize Microsoft Outlook to schedule meetings for staff and for daily correspondence to satisfy tasking.
  • Assist with scanning records, answer internal support line, relay telephone messages as required.
  • Restock and maintain lobby vending machine, coffee station and office supplies.
  • Process reimbursements requests and invoices for payments to vendors.
  • Any additional duties as assigned by Manager and Division management.
Requirements:
  • Requires a high school diploma or equivalent.
  • Related administrative/clerical certifications or training is beneficial.
  • 1-2 years: Familiarity with general office procedures; use of office equipment such as reproduction equipment, & telephone systems.
  • Understanding of business office functions: use of common word processing, database, and spreadsheet software use of correct grammar, spelling & punctuation rules.
  • Must possess basic organizational skills, work well with others, dependable, self-motivated.
  • Existing security clearance preferred but not required; must be able to obtain a security clearance.
  • A valid/clear driver's license is required.
Special Requirements:

Applicant selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information. Applicant must be a U.S. citizen.
