Description

Purpose of Position:

The purpose of the Campus Living Assistant (CLA) is to provide support in varying capacities to Campus Living, Clark Hall, and the residence halls. The CLA supports the Campus Living department by assisting with Campus Living operations, special projects, administrative processes, and creative tasks. They also provide excellent customer service as a resource for students, staff, faculty, and families seeking information at the Clark Hall front desk. This role is crucial for enhancing the residential experience by creating engaging visual materials for residence halls and events, managing the creative workspace known as The HIVE, and other duties as assigned. The CLA reports directly to the Services Coordinator but may receive instructions from the Assistant Directors and Director of Campus Living.

Job Duties and Responsibilities:

Supporting Campus Living

  • Project Support

  • Assist with Campus Living special projects (e.g. move-in/move-out processes, key management) and various seasonal tasks.

  • Help track project progress and meet deadlines.

  • Prepare and organize project-related materials.

  • Attend to Campus Living needs among various programs, such as preparing and cleaning short-term and emergency housing facilities in Clark Hall.

  • Administrative Support

  • Perform general office duties, including filing, scanning, copying, and data entry.

  • Assist with maintaining and updating departmental records, databases, and digital files.

  • Communication & Outreach

  • Respond to inquiries from and assist with strategic outreach to (in-person, phone, email) students, parents, and staff, or direct them to the appropriate resources.

  • Support the department's efforts in promoting Campus Living processes and initiatives.

Supporting Clark Hall

  • Front Desk Resource

  • Establish a welcoming and inclusive environment for all visitors by providing a positive first interaction when guests and staff enter.

  • Attend to the Front Desk as a resource for visitors by directing them towards pertinent information and services.

  • Proactively research Campus Living/Student Affairs policies and topics as needed to stay up to date with common practices.

  • Assist with administrative tasks such as data entry, email and phone correspondence, inventories, and general customer service.

  • Manage Clark Hall Common Spaces

  • Maintain cleanliness and readiness for use in Clark shared spaces (including but not limited to the Clark Hall Living Room, lobby, conference rooms, copy/mail room, storage areas, and staff break room).

  • Participate in Team Development

  • Actively engage in staff and supervisor meetings, training sessions, and team development.

Supporting the Residential Experience

  • Design & Maintain Visual Environments

  • Create, produce, and manage a wide range of visual communication materials for Campus Living spaces (hall signs, decorations, bulletin board content, and digital social media posts).

  • Respond to requests for visuals/materials in a timely, communicative manner.

  • Demonstrate effective project management and collaboration with other CLAs.

  • Support Department & Residential Events

  • Prepare event supply kits, facilitation guides, checklists, and marketing materials.

  • Provide on-site assistance for department-wide and large-scale residential events.

  • Manage The HIVE Supplies

  • The HIVE is a creative workspace and supply room for Hall Initiatives, Visuals, & Events.

  • Oversee the inventory and upkeep of The HIVE workspace and supplies.

  • Serve as a knowledgeable expert during office hours, providing guidance on HIVE resources.

General Qualifications:

Required Qualifications to Apply for & Retain Employment

  • Be a full-time, degree-seeking undergraduate student at the Forest Grove campus, enrolled in a minimum of 12 credits, with a current and cumulative GPA of 2.5 or higher
  • Maintain good standing with the University in regards to finances, academics, and conduct
  • Eligible to work in the United States
  • Excellent skills in design, communication, organization, and attention to detail
  • Able to be creative, curious, and innovative
  • Proficient with and/or able to quickly learn typical office tools and technology such as: Google Workspace and Applications, Windows and Mac computers plus related software, and basic office machines
  • Reliable, detail-oriented, punctual, and able to manage multiple tasks effectively
  • Able to maintain confidentiality and handle sensitive information with discretion
  • Able to work independently with minimal supervision and collaboratively in a team environment
  • Customer service oriented

Preferred Qualifications

  • Familiarity with the University, University policies and procedures (particularly related to Campus Living), and working knowledge of residence halls
  • Experience with Canva, Cricut, or other design software
  • Experience in customer service
  • On-campus living experience is preferred
  • Previous office experience is preferred

Length of employment: 2026-27 academic school year - date of hire through May 15, 2027
