Full Charge Bookkeeper who can take ownership of day-to-day accounting activities while playing a critical role in purchase order management and maintaining accurate financial records.
Salary/Hourly Rate: $70k - $80k
Position Overview: The Full Charge Bookkeeper will be responsible for managing day-to-day accounting functions while supporting the purchasing and operational sides of the business. This position requires a strong understanding of general accounting principles, excellent attention to detail, and hands-on experience managing purchase orders from creation through invoice reconciliation and payment. The Full Charge Bookkeeper will work closely with purchasing, operations, vendors, and management to ensure financial transactions are accurately recorded and properly supported.
The ideal Full Charge Bookkeeper is highly organized, comfortable working independently, and able to identify discrepancies between purchase orders, invoices, receipts, and payments. This role is well suited for someone who enjoys having ownership of the accounting function within a fast-paced distribution environment.
Responsibilities of the Full Charge Bookkeeper:- Manage daily bookkeeping and accounting activities, including accounts payable, accounts receivable, cash receipts, and general ledger transactions.
- Create, maintain, and monitor purchase orders throughout the purchasing cycle.
- Review purchase orders against vendor invoices and receiving documentation to identify discrepancies.
- Ensure invoices are properly matched to purchase orders and receipts before processing payments.
- Communicate with vendors and internal departments regarding pricing, quantities, missing documentation, and invoice discrepancies.
- Maintain accurate vendor records and assist with vendor account reconciliation.
- Process accounts payable invoices and ensure payments are made accurately and on schedule.
- Manage customer invoicing, cash applications, and accounts receivable follow-up as needed.
- Perform bank, credit card, vendor, and general ledger reconciliations.
- Record journal entries and maintain accurate general ledger activity.
- Assist with month-end and year-end close procedures.
- Monitor outstanding purchase orders and follow up on open or aging items.
- Maintain accurate records related to inventory purchases, receipts, freight, and other distribution-related expenses.
- Investigate accounting discrepancies and work with internal teams to resolve issues.
- Assist management with financial reporting, account analysis, and other accounting-related projects.
- Maintain organized and accurate financial documentation.
- Identify opportunities to improve accounting and purchasing processes.
- Support audits, tax preparation, and other external accounting requirements as needed.
Required Experience/Skills for the Full Charge Bookkeeper:- 3+ years of hands-on bookkeeping or accounting experience.
- Strong understanding of general accounting principles and full-cycle bookkeeping.
- Significant experience with purchase order creation, tracking, reconciliation, and management.
- Experience matching purchase orders, receiving documentation, and vendor invoices.
- Strong accounts payable and accounts receivable experience.
- Experience performing account and bank reconciliations.
- Strong attention to detail and accuracy.
- Ability to identify and resolve discrepancies independently.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Proficiency with Microsoft Excel and other Microsoft Office applications.
- Ability to work independently while collaborating effectively with purchasing, operations, vendors, and management.
Preferred Experience/Skills for the Full Charge Bookkeeper:- Previous accounting experience within a distribution, wholesale, manufacturing, or inventory-driven environment.
- Experience working with inventory-related accounting transactions.
- Familiarity with ERP or accounting systems used for purchasing, inventory, and financial management.
- Experience supporting month-end close.
- Experience with three-way matching and vendor statement reconciliation.
- Knowledge of freight, landed costs, or other distribution-related expenses.
- Experience identifying and implementing accounting or purchasing process improvements.
Education Requirements:- Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field preferred.
- Equivalent hands-on accounting experience may be considered.
