Summary:
We are seeking a high-energy, hands-on Shipping & Parts Fulfillment Manager to lead our outbound shipping and replacement-parts fulfillment operations. This position is responsible for ensuring finished goods and parts orders are picked, packed, documented, and shipped safely, accurately, and on time.
The manager will work closely with the Production Manager and Warehouse Manager to align daily priorities, confirm product and material readiness, address constraints, and ensure daily shipment and revenue targets are achieved. This role requires strong floor presence, effective cross-functional communication, and the ability to quickly identify and resolve barriers affecting customer delivery.
Salary range: $95,000 to $110,000 annually, depending on experience.
Primary Responsibilities:
- Lead, coach, and develop a high-performing team of approximately 10–15 hourly associates across the Shipping and Parts Fulfillment departments.
- Direct daily outbound shipping and parts fulfillment activities, including order prioritization, picking, packing, documentation, staging, and carrier coordination.
- Develop and execute a daily fulfillment plan that aligns staffing, workload, carrier schedules, and order priorities with established shipment and revenue targets.
- Partner closely with the Production Manager and Warehouse Manager each day to confirm production completion priorities, material availability, finished-goods readiness, and the sequence of orders required to achieve daily shipment targets.
- Participate in daily cross-functional operating meetings and provide clear updates regarding shipment status, parts-order backlog, risks, constraints, and recovery actions.
- Proactively identify orders at risk of missing scheduled shipment dates and coordinate with Production, Warehouse, Customer Service, Sales, Quality, and other departments to resolve issues.
- Monitor daily order backlogs and ensure finished goods and replacement-parts orders are processed according to customer requirements and committed delivery dates.
- Oversee domestic and international shipping activities, including carrier scheduling, export documentation, freight coordination, and compliance with applicable shipping requirements.
- Maintain strong relationships with parcel, freight, and logistics providers while monitoring service, cost, responsiveness, and delivery performance.
- Ensure all shipments are accurately picked, packaged, labeled, documented, and transacted in the ERP system before leaving the facility.
- Establish standard work and clear expectations for order processing, picking, packing, staging, final verification, and shipment confirmation.
- Apply Lean principles, 5S, and continuous-improvement methods to eliminate bottlenecks, reduce order-processing time, and improve flow through the parts and shipping areas.
- Balance daily staffing and resources based on shipment priorities, order volume, and operational needs, including coordinating overtime when necessary.
- Maintain a strong floor presence and provide immediate direction and support when fulfillment or shipping issues arise.
- Use ERP systems, such as NetSuite, to monitor order status, shipment transactions, backlog, productivity, and on-time delivery performance.
- Track, own, and report key performance indicators, including daily shipment attainment, on-time shipment performance, parts-order backlog, order accuracy, shipping errors, productivity, and safety.
- Review daily performance against established targets, identify gaps, and implement timely corrective and recovery actions.
- Drive a safety-first culture by ensuring employees are properly trained, equipment is operated safely, and established safety procedures are consistently followed.
- Handle employee onboarding, training, performance management, attendance, and development while fostering a positive, collaborative, and accountable work environment.
- Implement and maintain departmental policies, procedures, standard work, and performance expectations.
- Communicate effectively throughout all levels of the organization, including providing concise operational updates and escalating risks when appropriate.
- Understand, support, and execute all work according to established organizational procedures and applicable regulatory requirements.

Qualifications:
- Two or more years of direct supervisory or management experience, or five or more years of progressively responsible experience in a high-volume shipping, logistics, parts fulfillment, distribution, or manufacturing environment.
- Demonstrated experience leading hourly employees and managing daily operational priorities.
- Experience overseeing outbound shipping, parts fulfillment, order processing, or a comparable customer-delivery operation.
- Bachelor’s degree in Business, Operations, Supply Chain, Logistics, Engineering, or a related field preferred.
Knowledge Skills and Abilities:
- Strong understanding of outbound shipping, parts fulfillment, order prioritization, carrier coordination, and customer-delivery requirements.
- Ability to build and execute daily operating plans in support of shipment and revenue targets.
- Proven ability to coordinate effectively with Production, Warehouse, Customer Service, Sales, and other cross-functional partners.
- Working knowledge of ERP and Warehouse Management Systems; NetSuite experience is a plus.
- Familiarity with domestic and international shipping documentation and carrier requirements.
- Familiarity with Lean principles, 5S methodology, standard work, and continuous-improvement techniques.
- Strong leadership skills with the ability to coach employees, establish accountability, and build an engaged team.
- Strong written and verbal communication skills.
- Proven ability to manage multiple priorities, make timely decisions, and adjust resources in a fast-paced environment.
- Strong problem-solving skills and the ability to develop effective recovery plans when orders or shipments are at risk.
- Proficiency in Microsoft applications, including Excel, Word, Outlook, and PowerPoint.

Supervisory Responsibilities:
- Lead, develop, coach, and mentor Shipping and Parts Fulfillment employees.
- Participate in interviewing, selecting, onboarding, and training employees.
- Establish employee goals and performance expectations.
- Conduct performance evaluations and address performance or attendance concerns as appropriate.
- Plan daily staffing assignments and adjust resources based on operational priorities.
