Position SummaryThe Front Office Receptionist/Administrative Assistant is responsible for creating a welcoming and professional first impression for visitors, employees, and clients while providing day-to-day administrative support to the office. This position manages front desk activities, incoming calls and correspondence, office supplies, scheduling, and other administrative tasks to help ensure the office operates efficiently.Essential Duties & ResponsibilitiesGreet and welcome visitors, clients, and employees in a professional and friendly manner.Answer, screen, and direct incoming phone calls.Receive, sort, and distribute mail, packages, and other deliveries.Maintain a clean, organized, and professional reception and common areas.Manage office supplies and place orders as needed.Provide general administrative and clerical support to various departments.Assist with scheduling meetings, maintaining calendars, and coordinating conference rooms.Prepare, organize, scan, copy, and file documents.Enter and maintain information in company systems and spreadsheets.Assist with employee onboarding and office-related administrative tasks.Coordinate office events, meetings, lunches, and other company activities as needed.Assist with travel arrangements, shipping, and other administrative requests.Maintain accurate records and ensure documents are properly organized.Respond to routine inquiries and direct questions to the appropriate department or employee.Assist with special projects and other administrative duties as assigned.Maintain confidentiality of company and employee information.QualificationsHigh school diploma or equivalent required.1–3 years of receptionist, administrative, customer service, or office support experience preferred.Strong verbal and written communication skills.Professional, friendly, and customer-service-oriented demeanor.Strong organizational and time-management skills.Ability to multitask and prioritize competing responsibilities.Proficiency with Microsoft Office, including Outlook, Word, and Excel.Strong attention to detail and accuracy.Ability to work independently while also functioning effectively as part of a team.Ability to handle confidential information appropriately.Physical RequirementsAbility to sit or stand for extended periods.Ability to regularly use a computer, telephone, copier, and other standard office equipment.Ability to lift and carry office supplies and packages weighing up to approximately 25 pounds.
