Job Title: Front Office Coordinator
Job Type: Full-Time, Permanent
Salary: $45,000 - $50,000 per year
Location: Baltimore County

Position Overview

We are seeking a professional, organized, and customer-focused Front Office Coordinator to serve as the first point of contact for our company. This role is responsible for creating a welcoming experience for visitors, managing front desk operations, coordinating office activities, and providing administrative support to ensure the office runs efficiently.

The ideal candidate is highly organized, personable, detail-oriented, and capable of multitasking in a fast-paced environment.

Key Responsibilities

  • Greet and welcome visitors, clients, and vendors in a professional manner.
  • Answer and direct incoming phone calls and emails.
  • Manage office calendars, meeting schedules, and conference room reservations.
  • Coordinate incoming and outgoing mail, packages, and deliveries.
  • Maintain office supplies inventory and place orders as needed.
  • Assist with onboarding paperwork and administrative support for new employees.
  • Prepare documents, reports, and presentations as requested.
  • Support company events, meetings, and team activities.
  • Maintain accurate records and filing systems.
  • Assist leadership and various departments with administrative projects.
  • Ensure reception and common areas remain organized and professional.
  • Perform other administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • 1-3 years of receptionist, administrative, customer service, or office support experience preferred.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Professional demeanor and customer-service mindset.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
  • Ability to work independently while maintaining attention to detail.

Preferred Skills

  • Experience using office management or scheduling software.
  • Strong problem-solving abilities.
  • Administrative and project coordination experience.
  • Ability to prioritize tasks and meet deadlines.
  • Experience supporting multiple departments or executives.
