Front Office Assistant
Location: Princeton Junction & Mercerville, NJ
Employment Type: Contract
Work Arrangement: Onsite (Split Schedule: 3 Days in Mercerville | 2 Days in Princeton Junction)
Schedule: Monday–Friday | 8:30 AM–5:30 PM
Compensation: $21.00–$22.00 per hour

Position Overview

Wheeler Staffing Partners is seeking a professional and customer-focused Front Office Assistant for an onsite contract opportunity supporting two practice locations in Princeton Junction and Mercerville, New Jersey. This position serves as the first point of contact for patients and is responsible for creating a welcoming experience while ensuring efficient front office operations.

The ideal candidate has previous experience in a dental or medical office, excels at multitasking, and is committed to delivering exceptional customer service in a fast-paced healthcare environment.

Key Responsibilities

Patient Reception & Customer Service

  • Welcome and check in patients in a friendly, professional manner.

  • Serve as the primary point of contact for patient inquiries in person and over the phone.

  • Deliver exceptional customer service while maintaining patient confidentiality and HIPAA compliance.

  • Coordinate patient flow with clinical staff to help maintain an efficient schedule.

Scheduling & Registration

  • Schedule, reschedule, and confirm patient appointments.

  • Prepare and maintain accurate patient records.

  • Update patient demographic and insurance information within the practice management system.

  • Ensure patient information is complete and accurate prior to appointments.

Insurance & Payment Processing

  • Verify patient insurance eligibility and benefits.

  • Collect co-pays, outstanding balances, and patient payments.

  • Respond to basic billing and financial questions, escalating complex issues as appropriate.

  • Maintain accurate payment and financial documentation.

Administrative Support

  • Answer incoming phone calls and route inquiries appropriately.

  • Perform general administrative and front office duties as assigned.

  • Support daily office operations to ensure a positive patient experience.

  • Assist the Practice Manager with additional administrative responsibilities as needed.

Qualifications

Required

  • High school diploma or GED.

  • Minimum of one (1) year of front office experience in a dental or medical practice.

  • Experience scheduling patient appointments in a healthcare setting.

  • Proficient computer and data entry skills.

  • Strong customer service, communication, and interpersonal skills.

  • Excellent organizational, multitasking, and time management abilities.

  • Ability to work efficiently in a fast-paced clinical environment.

  • Professional, dependable, and team-oriented.

Preferred

  • Experience in an oral surgery, dental specialty, or medical specialty practice.

  • Knowledge of dental or medical insurance verification and patient registration.

  • Experience collecting patient payments and discussing financial responsibilities.

Physical Requirements

  • Prolonged periods of sitting, standing, and working at a computer.

  • Frequent interaction with patients and office staff throughout the day.

  • Ability to lift and move office supplies weighing up to 15 pounds as needed.
