The Front Desk / HR Assistant is a student employee who supports day-to-day front desk operations and assists the Talent Management team with basic administrative and HR-related tasks. This role provides customer service to staff, students, and visitors while helping ensure smooth office operations in a professional and welcoming environment.

This position is based at the OSU Foundation's main office, located slightly off campus at 4238 SW Research Way, Corvallis, OR 97333.

Position Duties

  • Greet visitors and provide friendly, professional front desk coverage
  • Answer and direct phone calls, emails, and general inquiries
  • Manage incoming and outgoing mail, including sorting, distribution, and preparation of outgoing items
  • Maintain conference room reservations and coordinate car reservations for staff
  • Assist with basic HR administrative tasks such as filing, data entry, and document organization
  • Help prepare onboarding materials and assist with new hire logistics as needed
  • Support scheduling, meeting preparation, and calendar coordination
  • Provide event coordination and assistance, including preparation, setup, and day‑of‑event support
  • Assist staff with event-related tasks such as supplies, room setup, and general logistics
  • Maintain confidentiality when handling sensitive employee information
  • Assist with general office tasks including copying, scanning, and organizing supplies
  • Provide backup support to the Talent Management team during busy periods

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study

  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment

  • Must meet the applicable minimal enrollment standard

  • High School student: Regularly enrolled in a high school or participating in a home-schooling program

  • Undergraduate and post-baccalaureate student: 6 credit hours per term

  • Undergraduate international student: 12 credit hours per term*

  • Graduate student officially admitted to Graduate School: 5 credit hours per term

  • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

  • International students may be allowed to carry fewer hours than specified above and still be considered "full-time" by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.

  • Previous office or administrative experience preferred but not required

Working Conditions / Work Schedule

  • Students may work up to 24 hours per week during the academic year
  • Typical schedules range from 12-15 hours per week
  • Additional hours may be available during academic breaks, including summer
  • Summer availability is strongly preferred
