Our client is a small, patient-centered ophthalmology practice dedicated to providing high-quality, personalized eye care to their community. They are looking to add a Front Desk Receptionist & Surgical Scheduler to their team.

Salary/Hourly Rate:
$42k - $52k

Position Overview:
The Front Desk Receptionist & Surgical Scheduler is responsible for providing exceptional customer service to patients while efficiently managing front desk operations and coordinating surgical schedules in a small ophthalmology practice. This role requires strong organizational skills, attention to detail, and the ability to communicate clearly with patients, providers, and external facilities.

Responsibilities of the Front Desk Receptionist & Surgical Scheduler:
  • Greet patients and visitors professionally and courteously, creating a welcoming environment.
  • Check patients in and out, verify demographics, and update medical records as needed.
  • Collect co-pays, balances, and other payments; issue receipts and maintain accurate records.
  • Answer incoming calls, respond to messages, and route calls to appropriate staff or providers.
  • Schedule, confirm, and reschedule clinic appointments, including follow-ups and diagnostic testing.
  • Obtain and verify insurance information; assist with prior authorizations when needed.
  • Manage patient flow in the waiting area to ensure timely and efficient visits.
  • Maintain front desk organization, including filing, scanning, and routing documents.
  • Protect patient confidentiality and comply with HIPAA and office policies.
  • Coordinate and schedule ophthalmic surgeries and procedures with patients, physicians, and surgical facilities.
  • Verify insurance coverage and obtain pre-certifications and prior authorizations for surgical procedures.
  • Provide patients with pre-operative and post-operative instructions, including required testing and medication guidelines.
  • Prepare and distribute surgical packets, consent forms, and necessary paperwork.
  • Confirm surgery dates, times, and locations with patients and facilities; manage cancellations and rescheduling.
  • Communicate closely with providers and clinical staff to ensure accurate surgical orders and documentation.
  • Track and update surgical calendars; ensure all required documentation is completed and filed.
  • Follow up with patients post-surgery to confirm follow-up appointments and address scheduling needs.
Required Experience/Skills for the Front Desk Receptionist & Surgical Scheduler:
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask in a fast-paced environment while maintaining accuracy and professionalism.
  • Customer service-oriented, with a compassionate and patient-focused attitude.
Preferred Experience/Skills for the Front Desk Receptionist & Surgical Scheduler:
  • Previous experience in a medical office, ophthalmology, or surgical scheduling is strongly preferred.
  • Knowledge of medical terminology and basic insurance processes (authorizations, referrals, benefits).
  • Proficiency in electronic health records (EHR) and standard office software (e.g., Word, Excel).
Education Requirements:
  • High school diploma or equivalent is required.
  • Some college or medical office training is preferred.
